Position Overview

Under the direction of the Office Manager, the Workplace Operations Assistant Manager is a highly visible position that actively participates in the execution of the day-to-day processes and procedures of the Workplace Operations team.Their primary objective is to ensure our colleagues experience no impediments to their day-to-day productivity and to also ensure that both internal and external clients experience best-in-class customer service and high-quality output.

Principal Duties

Office Management

·Manage office supplies inventory (kitchen, production, etc.), including ordering, stocking, and distributing supplies as needed.

·Ensure the office environment is clean, organized, and well-maintained; monitor for interruptions and anticipate office needs with solutions.

·Maintain multifunction devises including monitoring toner levels and providing first level troubleshooting.

·Print, bind, and ship client materials in cooperation with and at the direction of investment teams.

·Operate production machines and mailing equipment, troubleshoot as necessary, remediate or place service calls.

·Liaise with building engineering teams and coordinate to serve any workplace and facilities’ needs.

·Provide production coverage for other offices as needed.

Employee Support

·Welcome new hires by conducting a comprehensive office tour and coordinating First Day requirements in collaboration with Human Capital and IT.

·Greet and provide general support to visitors and act as a point of contact for internal and external clients, ensuring a professional and welcoming environment.

Security and Access Management

·Issue and revoke access badges; enable and disable badge access in accordance with security guidelines.

·Ensure shred bins are locked at all times and picked up according to shredding schedule.

Event Coordination

·Assist in organizing company events, meetings, and conferences, including venue selection, catering, and logistics.

·Coordinate with vendors and service providers to ensure successful execution of events.

Technology and Systems

·Maintain and troubleshoot office equipment, including computers, printers, and telecommunication systems in coordination with remote IT support.

·Assist in the implementation and maintenance of office software and systems, providing support to the office as needed.

·Provide backup support to IT by fulfilling requests and resolving incidents reported in the Service Portal, as needed.

Decision-Making and Process Ownership

·Make thorough and informed decisions, ensuring the best outcomes for the workplace operations.

·Take ownership of office processes, identifying areas for improvement and implementing changes to enhance efficiency and productivity.

·Develop and document standard operating procedures (SOPs) for various workplace tasks and ensure adherence to these procedures.

·Update and maintain Workplace Operations CA Home page.

Compliance and Confidentiality

·Ensure compliance with CA policies and procedures, including health and safety regulations.

·Handle sensitive information with the utmost confidentiality and discretion.

·Cover other Workplace Operations functions as requested.

Qualifications

·Associate degree preferred and/or 2-4 years related work experience.

·Proficiency with Adobe Acrobat and Microsoft Office Suite, especially Word and Outlook.

·Availability to work overtime with little or no notice.

·Ability to stand for long periods of time; ability to lift 30 pounds (Facilities Maintenance and Production & Mail only).

·Excellent organizational and time management skills, with the ability to balance competing interest and needs, prioritize tasks, and meet deadlines.

·Ability to learn quickly and adapt to new challenges; ability to work well under pressure.

·Strong written and verbal communication skills, with a professional and courteous demeanor.

·Ability to work independently and as a part of a team, demonstrating flexibility and adaptability.

·Attention to detail and problem-solving skills, with a proactive approach to identifying and addressing issues.

·Discretion with highly confidential and sensitive information.
