The Royal Group , a subsidiary of Schwarz Partners is currently looking for a Project Coordinator in Lakeland, FL (Knights Station) . The Project Coordinator is responsible for maintaining data accuracy in inventory system, receiving documents, and communications with customer/purchasing team, within the timed expectations. Continuously monitors live delivery schedule and administrative tasks within the department, identifying/troubleshooting/reporting any deadline concerns. Project Coordinator also acts as back-up to Administrative Assistant when needed.

ESSENTIAL JOB FUNCTIONS FOR THIS POSITION:

Timely and accurately upkeeps inventory logs with customers (enforcing data accuracy, scanning, emailing, following up, verifying returned packets, etc.). Enforces dock management by monitoring the schedule throughout the day, upkeeping status report, and reporting non-compliances timely. Verify delivery paperwork for data accuracy and resolve any discrepancies before entering/releasing receipts into the account management system. Successfully troubleshoots inventory discrepancies and performs inventory adjustments when applicable. Monitors department email communications, ensuring timely responses and resolutions. Manages “Shipped Complete” process (upload BOL’s, verify receipt uploads present, QC folders are verified and in place for auditing, etc.). Completes “End of Month Checklist” (system health checks; PO’s statuses and uploads are up to date, BOL’s processed, etc.), reports non-compliances or challenges meeting deadlines. Upkeeps Production Tracker status’s (3%, labels, etc.). Inventory raw materials as needed. Efficiently and effectively communicates with Product Purchasing/Accounting on all inquiries, discrepancies, etc. Primary verifier of case packs and shortages/overages. Performs daily department walk throughs, auditing processes, identifying/reporting any non-compliances. Successfully leads department assignments to completion within the 24hr window expectation, delegating when needed, and reporting any non-compliances proactively to manager. Maintains records of all receipts per company Record Retention Policy (ex: all other non-customer purchased receipts, corrugated, Uline, etc.). Regular and predictable attendance. Complies with company policies and procedures. Perform other related duties as assigned. Provide support and communication to management on non-routine issues and risks. Acts as back-up to Admin. Receiver.

REQUIRED EDUCATION & EXPERIENCE:

AA in Business or related field preferred. Minimum three years of relevant experience. Equivalent combination of education and experience is also qualifying. Ability to communicate effectively in Spanish, preferred.

THE ROYAL GROUP REQUIRES THE FOLLOWING SKILLS & ABILITIES:

Must be PC proficient and able to thrive in a fast-paced setting. Ability to multi-task, work under pressure and meet required deadlines. Must have strong experience with Microsoft; Outlook, Excel, Word, PowerPoint. Strong verbal and written communication skills. Strong interpersonal, customer service skills required. Strong organizational skills to manage workload from all counterparts, internal system documents and subordinates.

WORK ENVIRONMENT:

While performing the duties of this job, the employee is frequently exposed to wet and/or humid conditions, moving mechanical parts, and fumes or airborne particles. The noise level in the work environment is usually loud.
