SUMMARY

The Accounting Specialist will be responsible for the oversight of student billing, collections and State Scholarship revenues for School. This position works with the Finance Manager to ensure all money owed to the company is billed and received correctly in a timely fashion.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties and functions, as outlined herein, are intended to be representative of the type of tasks performed within this classification. They are not listed in any order of importance. Other duties may be required and assigned.


Financial Responsibilities

  • Assists in reconciling tuition and fees between the general ledger and the Student Billing subsidiary ledger on a monthly basis.
  • Assists in reconciling the financial aid recorded on the general against the financial aid recorded in the financial aid system and the Student Billing subsidiary ledger on a monthly basis and provide financial aid data as needed
  • Ensures tuition and fees charged on the enrollment contract are properly recorded in the Student Billing software.
  • Enters billing charges and deposits into the Student Billing software and deposits the funds into the operating checking account on a daily basis.
  • Verification of student eligibility and reviews and handles first communication with parents regarding past due accounts.
  • Coordinates financial aid procedures, meetings, and activities and provides financial aid information.
  • Coordinates, records, and reconciles awards, disbursements and returns.
  • Supports the School's enrollment management efforts by providing financial aid information to prospective students and their families.
  • Develops and maintains system to account for financial transactions by establishing a chart of accounts; following diocesan bookkeeping policies and procedures.
  • Maintains and balances subsidiary accounts by verifying, allocating, posting, and reconciling transactions and entries.
  • Maintains and balances general ledger by transferring subsidiary account summaries and reconciling entries.
  • Works with payroll company in preparing payroll, associated taxes and reports; distributes checks.
  • Prepares bank deposits and records receipts.
  • Prepares monthly finance reports (Including student account information), delivered and explained in a timely manner.
  • Reconciles invoices with supporting documents; checks accuracy of invoices; matches general ledger codes, issues checks on a timely basis and researches any discrepancies.
  • Reports to management regarding the finances of school.
  • Assists in preparation and analysis of annual budget and audit.
  • Understanding and ability to explain federal, state, and county school scholarships
  • Performs other duties as assigned.

Additional Responsibilities

  • Attends Diocesan required meetings and workshops.
  • Performs additional projects as required by the Principal.
  • Protects operations by keeping information confidential.

QUALIFICATIONS

CATHOLIC FAITH

EDUCATION and/or EXPERIENCE

  • Associate degree in a business-related field, finance and/or accounting required.
  • Demonstrated technical ability with two (2) or more years of professional experience.
  • Working knowledge of accounting principles and financial reporting methodologies.

OTHER SKILLS and ABILITIES

  • Excellent interpersonal and organizational skills.
  • Excellent oral/written communication skills.
  • Excellent analytical skills with an ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Experience with bookkeeping and accounting programs, such as Quick Books and FACTS Tuition preferred.
  • Knowledge of and respect for the Catholic Church, its teaching, and mission required.


WORKING CONDITIONS

The working hours of this position are not limited to an 8-hour day. This person will need to be available in the evening and weekends, as needed. Must be willing to work in conditions of stress and function well under pressure.


PHYSICAL REQUIREMENTS

Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (15 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
