Position Summary:

The Accounts Receivable Waiver Specialist is responsible for gathering vendor lien waivers to ensure timely payments to Tri-City. This individual should be able to maintain a good working relationship with internal and external clients and business partners. The Accounts Receivable Waiver Specialist should also be able to work independently, meet specific deadlines, and multi-task.

Responsibilities of this position include, but are not limited to, the following:

 

  • Works in conjunction with our purchasing department to help facilitate the processing of invoices in a timely manner to ensure payment is not delayed.
  • Responsible for maintaining a database of supplier Notices to Owner in the company’s ERP.
  • Serve as a gatekeeper for payments to subcontractors and key suppliers while closely following established standard operating procedures.
  • Utilize the company's ERP to identify the need for a vendor lien waiver, secure waivers in a timely manner, and track accordingly.
  • Working closely with Billing Specialist to help complete monthly billing packages.
  • Develop and maintain vendor relationships to ensure timely document requirements.
  • Research and aid in resolving any payment discrepancies.
  • Researches customer/vendor discrepancies and past-due amounts with the assistance of the AR/Credit Manager and Billing Specialists.
  • Collaborates with AR/Credit Manager to reconcile accounts receivable on a regular basis.
  • Processes multiple forms of client/vendor payment and credits.

Experience and Education: 

Required:

  • High School Diploma or GED
  • One to two (1-2) years of experience in an accounting role
  • Strong customer service skills
  • Ability to read and understand contracts
  • Ability to perform accurate computations and verification of data
  • Ability to read, write, and communicate in the English language at a minimum 12th grade level
  • Intermediate level of experience and knowledge with Microsoft Suite of products with a strong emphasis on Excel and Outlook

 

Preferred:

  • Bilingual
  • Familiarity with Florida Lien Law
  • Experience in Accounting, collections, lien processes, and Notice to Owner processes
  • Notary
  • Accounting experience within the construction industry

Physical Demands & Work Environment:

  • Occasionally exposed to a variety of extreme conditions at construction job sites.
  • This job operates in an indoor professional office or job site environment. May work outside in heat/cold, wet/humid, and dry/arid conditions.
  • Employees may be exposed to fumes, airborne particles, moving mechanical parts, and vibration. In addition, the employee may occasionally be exposed to various extreme conditions at different work locations.
  • Employees will be exposed to moderate noise (i.e., business office with computers, phones, printers, and light foot traffic).
  • While performing the duties of this job, the employee is regularly required to talk and hear. This position is occasionally active and may require standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing throughout the day.

Position Type, Expected Hours of Work, and Travel:

This is a full-time position.  Days and hours of work vary but equate to 40 hours per week.  Occasional evening and weekend work may be required as job duties demand. 

 

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
