Position Summary

The Billing Specialist will be responsible for facilitating and handling the billing process, ensuring accuracy and efficiency in invoicing, payment processing, and accounts receivable management.


Supervisory Responsibilities:

Duties/Responsibilities:
  • Completion and submission of electronic claim contracts for Clients using GBS approved clearinghouses
  • Completion and submission of electronic statement enrollment forms for all Clients
  • Verify monthly billing spreadsheets from all EDI and recurring service partners
  • Monthly billing of Clients for EDI and recurring services along with sending outstanding balance letters to clients
  • Administration of maintenance contracts in contract management system for all the verticals
  • Maintain spreadsheets for EDI Clients which tracks the amount billed per provider and ancillary services. Maintain recurring billing in contract management system
  • Maintain spreadsheet for electronic statements which tracks installation and billing information
  • Maintain spreadsheet which tracks electronic statement services on a monthly basis
  • Maintain spreadsheet for Diamond Healthcare (electronic billing) Clients used for monthly statements
  • Perform a monthly audit of contract management system to ensure all new relevant items are added to existing contracts or new contracts are created.
  • Archive all contracts and other documents into contract management system
  • Develop and maintain a professional relationship with our Clients
  • Adhere to company policies and procedures documented and delivered
  • Keep accurate, timely and thorough Client documentation
  • Suggest and deliver ideas, concepts, strategies and programs that will make GBS I-Tech Solutions a better support and service company
  • Submit ideas and suggestions for the GBS newsletters to promote company image and improve Client communications
  • Communicate with Clients on all activity on a regular basis
  • Assisting with month end medical reporting (aging, billings, etc.)
  • Meet with management to keep others informed of account status, ongoing issues, opportunities and potential issues which may cause a negative impact to GBS and its Clients
  • Enter sales order worksheets and invoice as directed
  • Process RMA's
  • Maintenance tracking for all verticals
  • Scan, Index all NextGen invoices into FileBound
  • Create and mail the Help Desk Best Practice Guide and access cards to all new clients
  • Issue purchase orders for products on sale orders, requisitions and stock items
  • Enforce charge-backs to sales reps and clients
  • Process supplier RMA's/shippers on product returns
  • Manage all shipping and receiving
  • Contract management and invoicing for all Healthcare and affiliated vendors. Includes but is not limited to:
    • Maintaining a working knowledge of Vendor contracts and terms
    • Participating in meetings or decisions related to Vendor contracts
    • The management and maintenance of CMS and other related utilities
  • Provide backup assistance where needed to receive and prepare UPS/Fedex shipments and maintain shipping software and data.
  • Perform other duties as assigned and/or assume additional responsibilities as required
Required Skills and Abilities
  • Two years business experience in Client Service or equivalent business experience.
  • Good organizational and planning skills.
  • Working knowledge of Microsoft Office applications (Word, Excel, Outlook, and Access).
  • The ability to coordinate multiple projects simultaneously
  • Good communication skills including verbal, written, interpersonal and listening.
  • Working knowledge of general office equipment.
  • Working knowledge of NetSuite
  • Strong Client and co-worker relationship and rapport skills.
  • TEAM player attitude and the ability to positively interact with co-workers at all levels of an organization

Education and Experience:

  • NetSuite experience preferred.
  • Degree in Accounting or Finance preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
