Overview:
Performs numerous clerical and administrative tasks essential to the efficient operation of anatomic and clinical laboratory.  Receives specimens from surgery, GI lab, inpatients, outside clinic offices and other areas of the hospital.  Performs registration of patients, data entry in hospital EMR, LIS, and other electronic records as necessary. Orders supplies from materials management and other areas as necessary.  Track and package specimens to be sent to other laboratories for testing.  Enter and upload reports from reference laboratories. Types procedures, memorandums, letters, forms, and reports. Required to do other tasks as deemed by the Laboratory Director to be in the best interest of good patient care.

Responsibilities:
Demonstrates skills in Meditech system (ordering, registering, patient inquiry, charges, scanning), in addition to other electronic software programs and databases.

Collects all necessary information/paperwork for all pathology patients.

Performs all clerical duties required.

Handles incoming calls into the departments and responds.

Package and prepare samples for reference laboratory testing.

Office skills: Faxing, copying, scanning, organization, filing, paging.

Notifies Medical Director of communication inquiries from other departments, doctors, or patients.

Accession all specimens received with case number. 

Maintains patient reports and is able to retrieve in a timely manner

Monitors all faxes

Proper use of ICD-10 and CPT codes for billing.  Enters hospital charges for each pathology report and monitors that the charges were correctly entered (daily).

Keeps records and aids the Quality Assurance Supervisor with reports

Registers patients in Meditech from specimens received

Assist Histology/Pathologist in requisitioning and assigning appropriate specimen and preparing specimen(s).

Maintains balanced inventory of supplies for Pathology

Handles outside consultation materials (Release of Information form, obtain slides/blocks/pathology report for send outs (reference labs, diagnostic consults, continued patient care).  Prepare shipping label for FedEx or send to Shipping.

Assist Laboratory couriers daily in coordinating when, where, and what specimens are to be picked up for what Pathology supplies are needed (bags, specimen bottles, requisition forms, etc).  Update and maintain log sheets from Courier. 

Backup Lab Courier to pick up Pathology specimens if necessary.

Participate with the clinical lab team for requisitioning/ordering/registering patients

Register new employees or active employees for NARMC lab work requested by Occupational Health Office.

Assist in the development of new codes, charges (Charge Master) for the laboratory

Demonstrates proper phone etiquette and skills.

Keep Medical and Laboratory director informed regarding calls and inquiries received throughout each day.

Demonstrates Meditech skills and trains others.

Maintains CAP/API program (intra-laboratory and Interlaboratory proficiency/quality control) records.

Sorts and delivers mail appropriately.

Performs maintenance duties.

Knows manuals at Lab front desk.

Special tasks assigned by Laboratory Director.

Follow NARMC policies and Laboratory directives.

Qualifications:

High School Diploma or GED required.

Experience:

Knowledge, Skills, and Abilities:

Typing and computer skills. 

Good grammar and spelling skills.

Must be able to read, write, speak and understand English.
