Overview:
The Bilingual Department of Transportation (DOT) Specialist ensures compliance in areas related to the Department of Transportation and provides administrative support for various HR and Department of Transportation programs.

 

Principal Duties and Responsibilities:

 

Initiates files for the Department of Transportation to ensure compliance of driver management software for Florida region new hires

Manages employee information to maintain updated files

Communicates with employees and managers for license and medical card recertifications

Coordinates a high volume of appointments for physical, functional, and drug tests for FL region year-round

Communicates with Secretary of State for verification of records

Processes documentation for rehires, transfers, offers rescinded, and terminations

Executes DOT verification of employment requests with third party vendors

Organizes and audits drug and alcohol testing at a rate 3 times higher than standard practices

Analyzes applications and furnishes DOT preboarding forms for FL region

Monitors motor vehicle records monthly and annually for the DOT Annual Review process

Investigates negative events on an MVR and communicates with Safety

Conducts monthly audits of DQ files and identifies records out of compliance

Collaborates with Benefits, Payroll, and Safety to administer return to work DOT physical for FMLA and Personal Medical leaves

Communicates and establishes relationships with vendors and medical clinics regularly

Maintain knowledge on DOT state and federal regulations.

Translates DOT and HR information and material

Prepares reports in driver management software

 

Global Responsibilities:

 

Maintain strict confidentiality of sensitive information

Regular attendance and physical presence at work is an essential function of this position

This job may require additional duties not listed above and the employee may be asked to perform those duties to meet business needs

Qualifications:

 

Education/Specialized Knowledge/Professional Certifications:

High School Diploma or equivalent required

Associates or Bachelor’s degree in related area preferred

Experience:

Experience with HRIS preferred

Knowledge and experience with Family Medical Leave Act (FMLA) preferred

Skills/Abilities:

Detail oriented; specifically, in database and recording keeping

Identify and resolve issues in a timely manner

Demonstrate a highly professional, flexible and customer service demeanor

Effectively communicate with all levels of employees via phone and/or email

Must be proficient with Microsoft Office Suite

Ability to read, write and speak fluently in English is required

 

Working Condiitons:

Operates within a professional office environment

Routine usage of standard office equipment such as computers, phones, photocopiers and filing cabinets

Physical Requirments:

 

Regularly required to talk or hear; frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms
