Overview: We are seeking a highly organized and detail-oriented Accounting Administrator to oversee the administrative aspects of our finance department. The Accounting Administrator will play a critical role in supporting various accounting functions, managing financial records, and ensuring compliance with established procedures and regulations. The ideal candidate will possess strong administrative skills, a solid understanding of accounting principles, and the ability to work effectively in a fast-paced environment.

Responsibilities:

Financial Record Management: Maintain accurate and organized financial records, including invoices, receipts, and bank statements. Ensure all documentation is properly filed and easily accessible for reference and audit purposes.

Accounts Payable and Receivable: Assist with accounts payable and accounts receivable processes, including invoice processing, payment preparation, and reconciliation of vendor and customer accounts. Monitor aging reports and follow up on outstanding balances as needed.

Expense Reporting: Review and process employee expense reports, ensuring compliance with company policies and procedures. Verify supporting documentation and reconcile corporate credit card statements.

Payroll Support: Provide administrative support for payroll processing, including maintaining employee records, processing timesheets, and assisting with payroll inquiries and discrepancies.

Financial Reporting Assistance: Assist in the preparation of financial reports and statements, including balance sheets, income statements, and cash flow statements. Compile financial data and prepare supporting schedules for management reporting.

Budget Management: Assist in budget preparation and monitoring activities, including tracking expenses, analyzing variances, and preparing budget reports. Provide support for forecasting and financial planning processes.

Audit Support: Assist in internal and external audit preparations by gathering requested documentation, conducting audit inquiries, and ensuring compliance with audit requirements. Address audit inquiries and implement audit recommendations as needed.

Vendor Management: Maintain vendor records and communication, including processing vendor agreements, updating vendor information, and addressing vendor inquiries and discrepancies.

Compliance Monitoring: Monitor compliance with accounting policies, procedures, and regulations. Identify areas for improvement and recommend solutions to strengthen internal controls and mitigate risks.

Administrative Support: Provide general administrative support to the finance department, including answering phone calls, responding to emails, scheduling meetings, and assisting with special projects as assigned.

Qualifications:

2+ years of experience in accounting, finance, or administrative roles, preferably in a corporate environment.

Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Office Suite, particularly Excel.

Strong organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively.

Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.

Ability to work independently with minimal supervision and collaborate effectively in a team environment.

Knowledge of accounting principles, regulations, and compliance requirements.

Commitment to maintaining confidentiality and integrity in handling sensitive financial information.
