As part of a fast-growing division, you'll play a key role in helping the team achieve new business opportunities and growth.The role is based in the corporate office headquarters in Gaithersburg, MD, and will support administrative and project needs for team members across the country. This full-time position is from Monday to Friday, 8:30 AM to 5:30 PM (with breaks). Occasionally, evening or weekend work may be required. This position is not remote and requires residency in the Washington, DC metro area.Key Responsibilities: Answer office phones and follow up on inquiries. Prepare, draft, and edit correspondence, presentations, emails, reports, and other documents using various software tools (e.g., MS Office Suite). Communicate with prospective clients, ownership, and company staff. Manage and schedule travel reservations, track expenses, and support company team members. Oversee calendar management, including scheduling meetings and interviews. Conduct research, gather data, and prepare reports and documents. Monitor and respond to incoming communications, and distribute them as necessary. Interact with clients, associates, and business partners in a professional manner. Assist with job postings, interview scheduling, and recruitment efforts. Maintain client invoice records and track outstanding payments (accounts receivable). Track employee expenses on a weekly basis and maintain related records. Assist in coordinating company events, retreats, and training sessions. Support marketing efforts and social media management as needed. Take accurate and detailed notes during meetings. Assist with compliance-related tasks, including calculating utility allowances, rent increases, and special claims. Develop and deliver staff training to ensure compliance with relevant federal and state housing program rules. Gather and analyze data to ensure program compliance with regulations. Other duties and projects as assigned.Education, Skills, and Experience Requirements: Minimum of 3 years of experience in an administrative assistant, office manager, or similar role. Proven experience managing projects and ensuring timely completion of tasks. Proficiency in MS Office Suite (Teams, Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Teams, Zoom, Google Meet). Strong understanding of standard office administrative practices and procedures. High school diploma required; additional qualifications are a plus. Technical knowledge necessary to perform the required tasks.Key Competencies: Professional communication skills, including email correspondence with clients and prospective customers. Strong analytical skills, good judgment, and critical thinking ability. Demonstrated proactivity, flexibility, and responsibility in handling diverse tasks. Excellent customer service and public relations skills, with a focus on building relationships with staff and industry professionals. Strong organizational skills with the ability to prioritize and meet deadlines in a fast-paced environment. Ability to manage multiple tasks efficiently and keep others organized. Willingness to take on new responsibilities and learn in areas with little prior experience. Excellent verbal and written communication skills.Compensation and Benefits:This is a non-exempt position with an hourly pay range of $20-$25 per hour, depending on experience and qualifications. The position may also be eligible for discretionary and/or performance-based bonuses.In addition to competitive pay, full-time employees (30+ hours/week) are eligible for: 2 weeks of paid vacation 3 weeks of sick leave and related leave 11 paid holidays Health and welfare benefits as outlined in the company's benefits guide.Employment Type: Full-TimeSalary: $ 20.00 25.00 Per Hour
