Legal Administrative Assistant
Overview:
Omya is seeking a skilled and detail-oriented
Legal Administrative Assistant
to provide essential administrative support to our
Corporate Attorney
and
Executive Leadership Team
. This role plays a key part in ensuring efficient operations across legal and corporate functions and offers an exciting opportunity to contribute to a growing organization as we expand into new markets.
Key Responsibilities:
- Provide administrative support for the Corporate Attorney and multiple Vice Presidents.
- Review, upload, and execute legal documents and contracts, ensuring accuracy and compliance.
- Prepare and proofread correspondence, reports, presentations, charts, and other materials.
- Organize and coordinate meetings, conference calls, and travel arrangements.
- Manage calendars, schedules, and confidential records for assigned personnel.
- Maintain filing systems and handle incoming/outgoing mail for the department.
- Assist with office management tasks such as supply ordering, printing, and mail distribution.
- Create purchase requisitions and process goods/services receipts in SAP.
- Provide general administrative support and backup coverage as needed.
Qualifications:
- Associate's degree and a minimum of
five years of administrative experience
, or an equivalent combination of education and experience. - Prior experience supporting a
legal department or corporate attorney
is highly preferred. - Strong organizational and multitasking skills with high attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with SAP is a plus.
- Proven ability to handle confidential information with discretion.
Work Schedule:
- Onsite during initial training period (approximately 2 weeks)
- Hybrid schedule thereafter:
2 days onsite / 3 days remote
