Position: Office Representative / Administrative Assistant

Employment Type: Full-Time (40 hours/week; Monday to Friday, 8:00 AM – 4:00 PM) Compensation: Based on experience

As we continue growing, we're seeking a capable Office Representative / Administrative Assistant to join our team and help keep our operations running smoothly.

Key Responsibilities

You will play a pivotal role in coordinating our day-to-day field operations and supporting both our team of technicians and customers. Your duties will include, but not limited to:

  • Answering incoming phone calls and professionally addressing inquiries
  • Dispatching technicians efficiently and managing technician schedules
  • Scheduling service jobs and appointments
  • Responding to general email correspondence
  • Processing incoming deliveries, and mail for the company
  • Sorting documents and packing slips to correspond with service job needs
  • Creating and updating customer records in company systems
  • Scanning, printing, and managing document copies as needed
  • Assisting with accounts receivable tasks: verifying labor and parts for service jobs inpreparation for invoicing
  • Skills & Qualifications
  • Proficient with QuickBooks Online for bookkeeping / invoicing tasks
  • Strong experience with Microsoft Excel, Word; comfortable using MacBook OS
  • Familiarity with Google apps / services
  • Excellent organizational skills, accuracy, and attention to detail
  • Strong verbal and written communication skills; ability to handle multiple tasks and priorities
  • Customer-focused, punctual, and professional demeanor
  • Fast learner and ability to problem solve on own/use resources to find answers
  • Familiarity with Dispatch Software - will train
