We are seeking a knowledgeable and detail-oriented Payroll Specialist to manage payroll processing for a mortgage company based in California. This position will support a remote and multi-state workforce, ensuring timely, accurate payroll administration while complying with federal, state, and local tax regulations. Experience with California labor laws and familiarity with remote employee payroll compliance in other U.S. states is essential.

Key Responsibilities:

  • Process semi-monthly payroll for California-based and out-of-state remote employees using Paycom.
  • Manage complex payroll scenarios involving commission-based compensation, performance bonuses, overrides, and draw structures specific to the mortgage industry.
  • Ensure payroll is processed accurately and in compliance with federal, state, and local wage and hour laws.
  • Maintain knowledge of multi-state payroll tax regulations, including state-specific withholding, unemployment, and disability laws.
  • Manage employee payroll data, including direct deposits, tax withholdings, and benefit deductions.
  • Resolve discrepancies and respond to payroll inquiries from employees and managers.
  • Coordinate with HR and Accounting to reconcile payroll and benefits with general ledger accounts.
  • Prepare payroll reports for internal stakeholders and audits.
  • Ensure compliance with California-specific labor requirements such as meal/rest break premiums, final pay rules, and sick leave accrual.
  • Register for and maintain payroll tax accounts in new states as business operations expand.
  • Keep up to date with industry trends and regulatory changes affecting payroll processes.
  • Assist with year-end processes, including W-2s, ACA reporting, and other filings.

Qualifications:

  • 3+ years of payroll experience, ideally within the mortgage, real estate, or financial services industry.
  • Hands-on experience processing commission-based and incentive compensation.
  • Strong understanding of California payroll laws and multi-state payroll tax regulations.
  • Proficient with payroll systems such as Paycom, ADP, Paychex, or similar platforms.
  • Familiarity with HRIS and time-tracking systems.
  • Excellent problem-solving, communication, and customer service skills.
  • Ability to work independently with minimal supervision.
  • CPP certification preferred but not required.

Preferred Experience:

  • Experience managing payroll for loan officers, mortgage brokers, and commission-based sales roles.
  • Familiarity with commission tracking tools and integration into payroll systems.
  • Working knowledge of the mortgage loan process and compensation models (e.g., flat fees, tiered commissions, draw vs. earn structures).
  • Experience with payroll audits and ensuring compensation plan compliance with DOL and IRS regulations.
