We are seeking a highly organized and well seasoned Office Manager to oversee the daily operations of our office. The ideal candidate will come to us with extensive knowledge and experience with dental/medical office management procedures. This role requires excellent communications and organizational skills. The candidate will possess the ability to manage multiple tasks efficiently all the while exhibiting patience with intermittent interruptions throughout the day. The office manager will play a crucial role in maintaining a productive work environment while ensuring that all administrative functions are executed smoothly. Responsibilities
- Oversee daily office operations, ensuring efficiency and effectiveness in all processes.
- Entering new patient information and updating patient charges after visits.
- Answer multi-line phone systems.
- Foster a collaborative team environment.
- Manage budgets to endure financial accountability within the office.
- Managing patient accounts with contact information, insurance, and financial information in a confidential manner
- Ensuring Medicare compliance is maintained and up-to-date according to federal guidelines, regulations and standards.
- Comfortably present financial obligation to each patient with effortlessly with confidence.
- Ensure patient appointment calendar is set according to practice needs.
- Positive attitude to be the first one in the door and the last one out on a regular basis.
- Process and reconcile all patient payments daily.
- Verifying insurance billing and coding is up-to-date daily on patient encounters.
- Daily revenue reconciliations including organizing bank deposits.
- Show empathy, patience and compassion in every situation with team members, patients and their family members, vendors and reps.
- Harbor an upbeat "can-do" perspective for the office team and practice.
Ideal Qualifications
- A minimum of 5 years of dental/medical office management experience
- Knowledge and ability to discuss financial arrangements with patients/families
- The ability to manage difficult conversations with empathy and active listening skills
- High proficiency with comfort with using various technology and systems
- Ability to work independently as well as collaboratively within a team environment
- Strong supervisory skills
- Familiarity with training and development practices to enhance team performance
- Previous experience in budgeting, payroll, bookkeeping, clerical tasks and administrative support is essential.
- Proficient with patient grievance resolution.
- Excellent organizational skills with a keep attention to detail.
This position will work the following hours: Monday-Thursday from 7:30 am -4:30 pm with a 30-60 minute lunch; we are closed on Fridays from seeing patients but a few hours of work at home on Friday is expected and required.
Job Type: Full-time
