Overview

Nuself is a leading comprehensive weight loss, Cosmetic and General surgery practice, dedicated to providing personalized patient care. We are seeking a Physician Relations, Referral and Marketing Coordinator to manage, develop and nurture physician relationships, streamline referrals, and assist with office operations. This role is essential for optimizing patient access and ensuring seamless communication between our clinic and referring providers. This position is responsible for ensuring that referred patients receive timely appointments for services, while also maintaining accurate records and communication with referring providers. The ideal candidate will possess a blend of administrative skills, marketing knowledge, previous experience in Physician relations and a strong understanding of digital tools to enhance our referral processes. At least 50% of the work in on the road visiting physician offices and related marketing work. Previous experience in this line of work is mandatory. Mileage is reimbursed.

Roles and responsibilities:

  • Manage inventory orders for clinic and patients.
  • Maintain and update inventory logs for patient treatments and office supplies.
  • Monitor incoming faxes for referrals and related documentation.
  • Check referral system for new referrals and track new patient follow-ups.
  • Maintain the office calendar, including staff out-of-office dates.
  • Track and manage consult follow-ups.
  • Oversee all lead follow-up processes and send end-of-day reports (EODs) on leads/consults.
  • Track new patient sign-ups and add them to practice software.
  • Schedule and coordinate lunches/visits with potential referring offices.
  • Arrange catering and promotional materials (food, cookies, brochures, etc.).
  • Visit referring offices solo to drop off materials and build relationships.
  • Fax consultation notes to referring providers through EMR to ensure seamless and timely communication.
  • Maintain a marketing log to track all visits, provider interactions, and outreach efforts.

Exceptional communication skills, both verbal and written, to effectively interact with patients, providers, and team members.

Qualifications:

  • Bachelors or Higher in Communications, Business or similar is required.
  • Prior Experience in healthcare coordination, marketing, and referral management working either in a hospital setting or Specialist clinic setting is mandatory.
  • Strong communication and relationship-building skills.
  • Ability to work independently while collaborating with a team.
  • Proficiency in EMR, Excel and other software systems.
