We are currently seeking a dedicated and organized individual to join our team as an Executive Assistant.

Position Overview: The Executive Assistant will play a vital role in providing comprehensive administrative support across various departments within the company. This position is ideal for a proactive and independent thinker who thrives on developing creative, innovative solutions to everyday challenges. The successful candidate will be responsible for managing social media, ensuring driver compliance, handling customer relations, overseeing brand compliance, and potentially managing construction orders and permits. This role requires excellent organizational skills, attention to detail, and the ability to juggle multiple responsibilities while working directly with company executives.

Key Responsibilities:

  • Driver Compliance: Ensure all truck drivers maintain active licenses, complete required yearly training videos, and receive weekly newsletters.
  • Customer Relations: Respond promptly and professionally to all customer complaints and inquiries.
  • Brand Compliance: Oversee compliance with brand standards for more than five major brands, including Citgo, Exxon, Shell, and others.
  • Master Calendar Management: Maintain and manage the company's master calendar, scheduling meetings, appointments, and key deadlines
  • Construction and Permits: Manage construction orders and file for necessary permits as needed.
  • Executive Support: Provide administrative support to the CEO and management team, handling confidential and time-sensitive materials with utmost discretion.
  • Project Coordination: Track the status of department initiatives, follow up on outstanding action items, and provide regular status reports to management.
  • Social Media Management: Develop and manage company social media strategies, create engaging content, and monitor online presence.
  • Travel Arrangements: Coordinate travel logistics for the CEO and management team, including booking flights, accommodations, and transportation.
  • Event Organization: Assist in organizing meetings, sessions, and other events, including scheduling, coordinating logistics, and preparing necessary materials.

Qualifications:

  • Proven experience in an administrative role, preferably with experience in compliance, customer service, and social media management.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and develop creative, innovative solutions to problems.
  • Experience with brand compliance and/or working with major brands is a plus.
  • Familiarity with the trucking industry and/or construction permits is desirable but not required.
  • Intermediate proficiency using Microsoft Office Word and Excel, basic proficiency using Microsoft Office Outlook.
  • Strong analytical and problem-solving skills with attention to detail.

Schedule:

  • 6-hour shift
  • Monday to Friday
  • In-person work required; no remote work opportunities.
