Position OverviewThe Development Coordinator is a full-time, exempt position reporting to the Director of Development. This role serves as the operational backbone of the development team, responsible for fundraising operations, donor stewardship, event coordination, grant tracking, and database management. The Development Coordinator will ensure timely donor acknowledgements, maintain accurate and complete records in the organization's CRM systems (Bloomerang and Instrumental), and provide administrative support for annual fundraising campaigns.
The successful candidate will be detail-oriented, organized, and motivated to take ownership of processes that strengthen donor engagement and fuel Arts for Learning's mission.
Key ResponsibilitiesGift Acknowledgements & Donor Stewardship
- Ensure acknowledgement of all donations within 48 hours of receipt.
- Draft, update, and maintain acknowledgement templates and tax receipts annually.
- Track donor interactions and maintain accurate stewardship records.
Grants & Calendar Management
- Maintain the development office's grant calendar in Instrumental, including deadlines, reporting requirements, and submission schedules.
- Coordinate with staff to ensure timely, complete submission of grant proposals and reports.
CRM & Database Management
- Manage Bloomerang to ensure accurate donor records, including contact information, giving history, pledges, and interactions.
- Generate and analyze reports to support fundraising strategy and measure progress.
- Partner with the finance team on quarterly reconciliations and annual audit preparation.
Fundraising Appeals
- Provide administrative support for multiple digital and mail-based appeals each year.
- Pull and segment donor lists from Bloomerang; manage merges for accuracy.
- Coordinate with vendors, mail houses, volunteers, and staff to ensure timely execution.
- Track results and prepare post-campaign reports.
Events
- Serve as lead staff for point-of-entry events and volunteer-related A4L events.
- Manage logistics including invitations, RSVPs, vendor selection and contracts, catering, and venue coordination.
- Recruit, schedule, and manage volunteers for development events.
- Collaborate with leadership to develop event budgets and timelines.
- Oversee event communications (save-the-dates, invitations, follow-ups).
- Staff events in person, ensuring smooth execution and a positive donor experience.
Departmental & Organizational Support
- Prepare donor lists and fundraising reports for the annual report, website, and internal tracking.
- Participate in department and organization-wide meetings.
- Support additional projects as assigned.
Qualifications
- Strong attention to detail and accuracy.
- Strong organizational and project-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Demonstrated experience coordinating events from start to finish.
- Experience working with donor databases (Bloomerang and/or Instrumental preferred).
- Interest in building relationships with donors, volunteers, and colleagues.
