Job Description
*Night Shift 4:00 pm-1:00 am*
Scope of Position
Department Supervisor supports the Transcon Manager in leading the department to achieving flawless
operational execution, developing a strong and reliable team infrastructure, technical expertise,
knowledgeable and promotable personnel while constantly driving efficiency, profitability and growth
supporting our Vision and Mission statement, making our promise real to all our employees and
customers.
Key Deliverables
- Support the Department Manager in proactively monitoring the following key metrics to achieve the
expected results.
- Employee Satisfaction
- Timely & Valuable Performance Reviews & PDP every 12 months.
- All team members to complete 52-hour training per year (4.33 per month).
- All team members to complete all mandatory training timely.
- Use team feedback to adapt and maximize the leadership quality and impact Yearly.
- Direct Report Survey.
- Operation Efficiency
- Product OPA Audit Result Perform consistently at the highest level.
- Accurate RDL Entry Aligned PUO/FRD & RDL with the service level.
- Timely XMT Entry Post IC, creating XMT event before BKD occurs.
- Timely INV Entry Post Invoice within 24 hours after POD.
- Timely DLV Entry DLV within 2 hours of delivery time.
- Timely POD Entry POD within 12 hours of delivery time.
- On Time Delivery DLV no later than 2 hours after the APT event time.
- Productivity:
- Revenue to Expense ratio Meet or exceed the budgeted annual ratio.
- Shipments per Person Improve SPP ratio by 10% each year.
- SPM
- Approve SP 100%.
- PU&D Connectivity 100%.
- Connectivity Response 100%.
- Quality
- EDI Data Quality 100% accuracy (EDI no EDE).
- EDI Error Resolution All EDEs resolved within 5 days.
- Finance
- Profit contribution to Budget meet or exceed budget.
- Revenue to Budget meet or exceed budget.
- Expense Control Remain at or under budget.
- A/R within terms 100 of A/R within 30 days of customers' credit terms.
- Reserves No Reserves (A/R, Provisions, Intercompany).
Administration and Personnel Management
- Exemplify and Teach Our Culture, Mission and Goals.
- Follow the 10 Critical Success Factor and the 'What's expected of a Supervisor guidelines".
- Support the department being properly staffed, structured and organized and interview regularly
- Ensure all needs and tools required are available for the Department to be successful in all areas
- Engage with team members daily, conduct check in meetings regularly assisting them with ongoing feedback coaching and mentoring
- Be visionary as it relates to supervising staff, processes and tools to be able to handle volume spikes, growth locally or supporting other branches
- Help build healthy cross functional relationship and work environment, promote team spirit and cohesiveness in the department.
- Ensure that company controls, policies, procedures, processes are understood and complied with.
- Participate in daily huddle meetings and Supervisor meetings weekly.
- Support all Employee Satisfaction initiatives.
- Support and execute department TBP, goals and expectations and monitor the progress.
- Allocate workloads within the department.
- Contribute to the effective weekly department meetings with team.
Finance
- Comply with all our policies, including the credit policy.
- Monitor the Unrecognized Files report (Daily) to identify and correct errors timely.
- Support review department profitability at the customer and file level.
- Help manage the efforts towards meeting budget.
- Ensure accurate and timely billing of customers and vendors.
Operations Compliance
- Effectively manage and monitor service execution within the Transcon department, leading and assisting our relentless pursuit of efficiency and operational excellence:
- Performance Management: Support oversight, including self-assessments and daily, weekly and monthly performance monitoring so that issues (root cause) are resolved proactively.
- Exception Management: Help review all exceptions to drive efficiency internally (controlled) and through interacting with our customers (uncontrolled).
- Help identify areas to improve efficiency to offer customers better cycle times, service while improving margins.
- Actively participate in the optimization of systems and tools and continuously improve the efficiency, productivity and quality of the service. Set the tone of this environment within your department.
- Make certain that client specific instructions are understood at the desk level to properly process shipments and invoices. Maintain SOPs updated for all customers.
- Ensure proper use of all Expeditor systems and tools, especially CFIT, ETMS, CRM, ECO.
- Make certain that files are logged correctly and timely with proper codes, trace types and events.
- Ensure that all correspondence within business unit is handled timely and professionally.
- Evaluate service providers timely.
- Maintain highest compliance levels for all applicable Transcon requirements.
- Stay current with developments and changes in regulations or company offerings and educate staff.
- Escalate issues to Transcon Manager timely when needed.
Sales and Marketing (and Growth)
- Active involvement with sales, customer retention and development, and account management locally to help maintain and develop relationships with existing and new customers through solid value propositions.
- Actively participate in customer visits and calls.
Security, Health and Safety
- Responsible to inform immediately to the Branch's Health and Safety representative any unsafe condition that could put employees at risk in the workplace as well as any incident or accident.
Qualifications
To be the most effective in this position we are looking for the following skills and experience:
- Preferred Bachelor's degree in Business Administration or equivalent combination of education and experience.
- 1-3 years of experience leading teams in the logistic field or domestic transportation.
- Exhibit a leadership style that empowers, coaches, mentors, and fosters a cohesive team environment always prioritizing employee satisfaction.
- Customer Satisfaction oriented.
- Strong interpersonal and communication skills, ability to communicate at all levels written and oral
- communications.
