Billing & Scheduling Specialist.
This individual will work under the direction of the Finance & Operations Director and will be primarily responsible for preparing accurate invoicing and coordinating allocation of staff in their pursuit of the firm's primary service. This is an in-office position.
Responsibilities
:

Billing.
Perform full cycle client billing, including preparation of all monthly client invoices, coordination of all subcontractor invoices, and coordination of all internal approvals. (Estimated Percentage of Time, 30%)
· Scheduling.
Provide support and systems improvement for Project Managers and Principals to coordinate the scheduling of staff resources and allocation to teams for current and future client projects. (Estimated Percentage of Time, 30%)
· Analytical Reporting.
Prepare and maintain all weekly, monthly, quarterly, annual and as needed analytical reports to support the strategic development of internal resources. (Estimated Percentage of Time, 30%)
· Administrative Support.
Provide ongoing support of all staff through intentional collaboration and effective communication to meet collaborative-wide goals and outcomes. (Estimated Percentage of Time, 10%)
Skills Needed:
· Strong organizational skills
. Most importantly, a sense of ownership and follow through to complete tasks, as well as a commitment to rigor and thoroughness with a high attention to detail.

Strong communication skills.
Ability to communicate clearly through multiple mediums, including but not limited to, verbal, written, and visual utilizing Microsoft 365, Zoom, and Adobe.

Flexibility
. Capable of handling and prioritizing complex systems and diverse tasks in a professional services environment.

Collaborative.

Experience Expectations:
· High School diploma/GED required, applicable associate's degree or certification preferred.
· years of billing or scheduling experience required, 5+ years working in office administration (within a professional services field a plus.) preferred.
· Software proficiency with MS Office Suite applications required; experience with Deltek Ajera a plus but not required.
· Experience coordinating with multiple company departments effectively in both written and verbal communication preferred.
