About the Role

The Commercial Funding & Contract Billing Specialist is a key member of our Accounting Department, responsible for managing both the funding and billing processes for commercial equipment transactions. This position ensures all documentation, invoicing, and financial records are accurate, complete, and compliant with company and contract requirements.

You'll collaborate closely with our sales, operations, and leasing partners to keep deals moving smoothly—from funding to billing—while supporting the overall financial health of the organization. What You'll Do

  • Prepare, review, and submit funding documentation for commercial equipment leases and sales
  • Manage client and leasing company billing to ensure accuracy, timeliness, and compliance with contract terms
  • Work closely with internal teams—including Sales, Warehouse, and Operations—to verify transaction details, equipment information, and meter readings
  • Create and maintain purchase orders, sales orders, and funding document sets (FDS)
  • Ensure accurate assignment of Wilson Group (WG) numbers, equipment serial numbers, and contract identifiers
  • Process and verify credit approvals, lease agreements, buyouts, tax exemptions, and W-9 forms
  • Reconcile accounts and confirm billing accuracy in collaboration with leadership
  • Communicate proactively with clients, leasing partners, and internal departments to resolve billing or funding questions
  • Maintain organized digital records of invoices, funding documentation, and communications
  • Track deal progress from initiation through funding confirmation and handle post-funding steps, including closing sales orders and initiating new Wilson Group Contracts (WGC)
  • Support audits, reconciliations, and compliance reviews
  • Cross-train within the accounting team to support overall department coverage

What You'll Bring

  • Associate degree in Accounting, Finance, Business, or related field required; Bachelor's degree preferred
  • 3–5 years of experience in billing, funding, or accounting (commercial leasing or service contracts a plus)
  • Proficiency in financial and billing systems — experience with E-Automate or similar software preferred
  • Strong attention to detail and organizational skills to manage multiple transactions and deadlines
  • Excellent written and verbal communication skills for working with clients, leasing partners, and internal teams
  • Solid understanding of accounting principles, billing practices, and contract administration
  • Professionalism, integrity, and discretion when handling sensitive financial or client information
  • A team-oriented mindset and flexibility in managing shifting priorities

This position is based on-site at our Pittsburgh office:

The role is expected to be in the office five days per week.

Job Type: Full-time

Pay: $45, $55,000.00 per year
