Salary: $65,000–$85,000/year + benefits

Schedule: Full-time, Monday–Friday, in office

The Role:

After 20+ years of dedicated service, our longtime Office Manager is retiring. We're seeking a confident and experienced professional to step into this key leadership role. The ideal candidate will bring strong leadership, professionalism, and organizational skills- along with a positive engaging presence that fosters connection and fun in the workplace.

Key Responsibilities:

Leadership & Team Management

  • Supervise, train, and develop administrative staff, including Receptionist and Administrative Assistant.
  • Partner with leadership to promote a positive, team-oriented culture.

Administrative Oversight

  • Manage office operations for Long Beach headquarters and oversee administrative processes across all offices.
  • Insurance Administration (Key Responsibility):
  • Administer insurance for all offices, including client and subcontractor certificates, builder's risk applications, and compliance documentation.
  • Serve as the company's point of contact for insurance-related matters.
  • Oversee office supplies, equipment, and printed materials companywide.
  • Serve as a Notary Public and assist with bonds, contracts, and permit packages.
  • Maintain client onboarding portals and vendor setup documentation.

Company Support & Engagement

  • Coordinate employee recognition programs, service awards, and company events (holiday party, staff luncheons).
  • Support safety and compliance initiatives in collaboration with leadership.
  • Provide general administrative support as needed, ensuring professionalism and responsiveness in all interactions.

Qualifications:

  • Minimum 5 years of office management or operations experience, ideally in a construction or multi-office environment.
  • Excellent leadership, communication, and organizational skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Customer-service oriented, proactive, and adaptable.
  • Notary Public (or willingness to become certified; company will provide training).
  • Bachelor's degree in Business Administration, Management, or related field preferred.
