Job Description
General Summary
The Office Manager works closely with the Executive Director to provide support services for administrative and operations activities. Responsibilities include office organization, staff support, maintaining policies and procedures documentation, coordinating appointments and preparing mailings.
The Office Manager must be flexible in fulfilling responsibilities and day-to-day activities. This job description is intended to describe the general content of and requirements for the performance of this position. It is not to be construed as an exhaustive statement of duties, responsibilities, or requirements.
This is a full-time, exempt position.
Reports to: Executive Director
Job Responsibilities
1) Administrative
- Reply to all incoming phone calls, emails, and website inquiries.
- Assist the Executive Director with correspondence and maintaining electronic files.
- Prepare meeting materials.
- Manage employee group insurance and enrollment.
- Maintain organizational rosters and policies and procedure documentation.
- Acts as a representative of Basin Dream Center to all visitors and volunteers
- Assists board members, volunteers, and donors as needed.
2) Facilities & Maintenance
- Research, analyze, negotiate, and review bids for facility and equipment project proposals and procurement of equipment in accordance with grant standards and contracts.
- Oversee facility improvement projects and maintenance.
- Oversee vehicle maintenance.
- Oversee holiday decorating for the property and houses.
- Maintain records of all work performed and costs.
- Oversee outside vendors when needed for projects and monitor and review work performance for quality, accuracy, and completeness.
- Maintain records of all capital equipment which reflects purchase dates, costs, service dates and costs, description, and inspection reports.
- Maintain an updated list of all vendors, suppliers, and contractors.

Minimum Qualifications Required
- Experience in a social service environment is strongly encouraged.
- Experience and comfort working in an extremely diverse and multicultural environment.
- Excellent interpersonal and customer service skills and the ability to oversee and collaborate with staff.
Essential Requirements
- Demonstrated proficiency with MSOffice, especially MSWord and Excel and database management software.
- Demonstrated proficiency with numbers and financial information and the ability to create reports and spreadsheets using information from the database.
- Demonstrated ability to organize multiple tasks concurrently and be detail oriented.
- Ability to sit at a computer for long periods of time.
- Transportation, ability to drive, and a valid driver's license.
Remuneration
Benefits include health insurance package and life insurance, PTO and Holiday Pay.

Pay: $ $25.00 per hour
