Marketing Events Specialist
The Marketing Events Specialist is responsible for planning and executing firm-wide, client-facing events, on-site, off-site, and virtual, including seminars, client dinners, receptions, retreats, and conferences. This includes managing the development and execution of events to ensure all events run smoothly from planning to follow-up and managing each event budget. The Marketing Events Specialist will interact and communicate with the entire Marketing & Business Development department, partners, attorneys and administrative staff across offices in support of the overall goals of that function or initiative. This position will present creative and thoughtful ideas for events to partners of the firm. This position works collaboratively with local office administration to ensure coordination, effective engagement of resources, consistency of approach and high-quality execution. The position maintains professionalism and strict confidentiality in all client and firm matters.
Katten offers a hybrid work model allowing the flexibility to work both on-site and remotely on a regular basis (KattenFlex).
Essential Duties and Responsibilities include, but may not be limited to, the following. Other duties may be requested and/or assigned. Serve as the lead project manager for assigned events from the initial creative design and pre-planning stage through execution. Can also step in to support another planner.
Conduct site visits, select and secure appropriate venues and review contracts.
Prepare event proposals and manage event budgets, ensuring that expenses are within the approved budget; process all related payments and invoices.
Liaise with partners, MBD teammates, and Marketing Technology on invitations and mailing lists.
Collaborate with the firm's graphics team to create email invitations, review design and content.
Implement best practices and processes for events
Update all partners and MBD teammates regularly on event progress.
Manage the production of event materials, including invitations, reminders, confirmations, agendas, seminar handouts, slides, name badges, promotional items, signage, etc.
Manage and oversee AV logistics, working with IT and other related vendors.
Coordinate purchase and distribution and promotional items and other gifts.
Work with vendors and catering contacts (onsite and offsite) on food and beverage needs for events.
Coordinate room set-up with onsite facilities teams for in-office events.
Manage RSVPs and reconcile attendance in InterAction.
Develop event staffing and execution plans.
Maintain a detailed electronic filing system for all events in iManage.
Create accurate estimates of costs for events and reconcile budgets in a timely and detailed manner.
Provide support for third-party sponsorships.
Knowledge, Skills, and Abilities
Bachelor's degree in a related field is preferred and 3-5 years of event experience, preferably in a legal or professional services firm; or equivalent combination of education and experience.
Strong events management skills and experience providing concierge-level support while exercising a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment.
Good judgment, administrative abilities, and decision-making skills. Proactive with excellent troubleshooting, problem resolution, and follow-through skills.
Excellent organizational and written skills, strong verbal communication skills, a high level of attention to detail and the capacity to work comfortably on multiple ongoing projects.
Excellent interpersonal skills with the ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information and maintain effective relationships with a diverse group of attorneys, clients, business professionals, and outside vendors and contacts.
Computer proficient with excellent technological skills including proficiency in Microsoft Office applications and database management. Knowledge of InterAction is a plus.
Dependable team player who works collaboratively and cooperatively with others in a team-oriented environment. Must also be able to work well independently, manage projects and maintain communications with various constituencies.
Willing to travel when required.
For our Chicago Office, the annualized salary range for this position is $90,000 to $110,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
