We are seeking an Office Administrator, BIS Project Management to join our Integrated Service Division.

The Role

The Office Administrator, BIS Project Management will play a crucial role in supporting the project management team. This role will handle tasks related to customer communication, purchasing, COI's, scheduling, planning and warranties.

Accountabilities: 

  • Communicate with external/internal customers as well as field technicians.
  • Develop a strong knowledge of Build Ops software program.
  • Develop a detailed understanding of all commercial service trades.
  • Generate, prioritize, schedule, and work with other departments to complete projects successfully.
  • Monitor and update status on all active jobs.
  • Close out all complete calls daily.
  • Ensure all tickets are signed off by customers, hours are correct before closing job and moving to billing.
  • Ensure that change orders and requests are in Build Ops and then tagged to the estimating department.
  • Be sure all labor is entered and coded properly.
  • Verify labor hours are submitted for all technicians timely.
  • Coordination of phone call coverage with fellow dispatchers during lunch hours

Qualifications:

Skills

  • Strong computer skills. Proficient with Microsoft Office Suite (word, excel, and outlook). Aptitude for learning internal systems, applications and workflow of the department.
  • Ability to prioritize and manage multiple tasks under distractions and time constraints in order to meet strict deadlines.
  • Excellent verbal and written communication skills.
  • Demonstrate strong organizational and time management skills.
  • Team player with the ability to build and cultivate superior customer service.
  • Maintain positive relationships with internal and external contacts while strengthening our relationships between our Brand and customers.

Education and Experience

  • High School Diploma or equivalent. Associate's degree preferred.
  • 1-3 years' experience in service coordination or equivalent.
  • Experience in working effectively under pressure and handling situations in a professional and calm manner.

Physical Requirements

Physical activity not limited to: walking, bending, kneeling/crouching, pushing, pulling, sitting and standing for long periods of time and lifting up to 20 lbs.
