Position Overview: The Administrative Assistant will play a crucial role in ensuring the efficient operation of our nursing home by handling a variety of administrative tasks. This position involves managing payroll, answering phone calls, scheduling for nurses and CNAs, and providing general administrative support to ensure that the facility is fully staffed and running smoothly.
Key Responsibilities:
- Payroll Management:
- Process and manage payroll for nursing home staff, ensuring accuracy and timeliness.
- Maintain records of hours worked, overtime, and other payroll-related information.
- Phone and Communication:
- Answer and direct incoming phone calls professionally and courteously.
- Handle inquiries from staff, residents, and their families effectively.
- Scheduling:
- Create and manage schedules for nurses and Certified Nursing Assistants (CNAs).
- Coordinate coverage for shifts and handle any scheduling conflicts or adjustments.
- Administrative Support:
- Provide general administrative support to the nursing home, including preparing documents and handling correspondence.
- Assist with onboarding new employees and maintaining staff records.
- Staffing Coordination:
- Monitor staffing levels and ensure the facility is adequately staffed at all times.
- Work with management to address any staffing shortages or issues promptly.
Key Skills and Qualifications:
- Communication:
- Excellent verbal and written communication skills.
- Ability to interact effectively with staff, residents, and external contacts.
- Computer Proficiency:
- Strong computer skills, including proficiency in Microsoft Excel and other office software.
- Experience with payroll software and scheduling tools is a plus.
- Organizational Skills:
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy in handling administrative tasks.
- Experience:
- Previous experience in an administrative role, preferably within a healthcare or nursing home setting.
- Experience with payroll and scheduling is highly desirable.
