Job Summary

The Administrative & Order Entry Specialist plays a key role in supporting our sales and customer service operations. This position handles customer inquiries, prepares quotes, processes orders, and coordinates with internal teams to ensure outstanding service. The ideal candidate is detail-oriented, friendly, and comfortable working in a fast-paced technical environment.

Key Responsibilities

  • Answer phones, respond to customer emails, and provide timely and accurate product quotes
  • Enter and manage customer orders in the ERP systems
  • Serve as an in-house contact for customer and distributor inquiries
  • Coordinate with the sales and technical teams to ensure smooth order processing and customer satisfaction
  • Follow up on open quotes and orders to drive timely completion
  • Learn Kübler's product line and be able to assist with basic product and order questions
  • Maintain professionalism and a customer-first attitude at all times
  • Support special projects and administrative needs as assigned by the Sales Director

Qualifications

  • Minimum 2 years of customer service or administrative experience required
  • Strong computer skills: Microsoft Office Suite required; experience with Microsoft or NAV / IFS is a plus

Working Conditions

  • On-site position in Charlotte, NC
  • Standard office environment with moderate noise levels
  • Flexible start time between 8:00–8:30 AM; 40-hour work week required
  • Must be able to sit, stand, and communicate effectively by phone and email.

Physical Requirements

  • Ability to work in an office setting and use standard office equipment
  • Regularly required to sit, stand, walk, and reach with hands and arms
  • Must have clear vision for close and distance work
  • Position may be subject to random drug testing
