Purpose
The Receptionist is responsible for managing the front desk and serving as the first point of contact for clients, visitors, and staff. This position requires excellent communication, organization, and customer service skills. The ideal candidate is professional, dependable, and capable of handling multiple administrative tasks efficiently.
This position reports to the Office Manager.
Responsibilities
As the Receptionist, you will serve as the first point of contact for clients, visitors, and vendors, providing a professional and welcoming presence at the front desk. You will be responsible for answering and directing incoming phone calls promptly and courteously, managing conference room scheduling through Microsoft Outlook, and forwarding incoming faxes via email. You will greet all visitors, notify appropriate staff of their arrival, and ensure that all guests feel comfortable and attended to. Additionally, you will maintain the cleanliness and organization of the front desk, kitchen, and conference rooms, refresh supplies, prepare coffee as needed, and assist with light administrative tasks such as filing, scanning, and data entry. Your role is essential in supporting the daily operations of the firm by providing reliable, efficient, and professional front-office support.
Qualifications
· High school diploma or equivalent.
· Excellent verbal and written communication skills.
· Polite, professional demeanor and strong interpersonal skills.
· Basic computer skills, including proficiency with Microsoft Outlook, Word, and Excel.
· 1 year of experience in a receptionist or administrative support role in a professional office setting, preferred.
· Reliable and punctual with strong organizational abilities.
Working Conditions and Physical Requirements
· Ability to sit at a desk for extended periods of time.
· Occasional light lifting (up to 20 lbs.).
· Ability to operate office equipment such as a computer, phone, copier, and fax machine.
