Executive Assistant (Bilingual: English/Spanish)
About the Role
We're hiring a proactive, detail-obsessed Executive Assistant who keeps our founders moving fast. You'll manage communications and calendars, jump into operations, support marketing and HR, and make sure things get done—often before we ask. The ideal candidate is bilingual (English/Spanish), a self-starter, and comfortable handling sensitive topics with judgment and discretion.

Responsibilities
Executive Support
Own inbox triage and draft responses on behalf of the founders (English/Spanish).
Manage complex calendars, travel, and personal/professional logistics; protect focus time.
Prepare meetings: agendas, docs/decks, notes, and follow-ups with clear owners and deadlines.
Bilingual Communications (Spanish/English)
Live interpreting for meetings, store visits, vendor calls, and interviews—ensuring nuance, tone, and cultural context land correctly.
Use AI tools for light/draft translations (emails, memos) and then review for accuracy and tone.
Handle sensitive or confidential topics without AI when appropriate; uphold privacy and discretion.
Operations
Track initiatives and store projects; maintain checklists/SOPs; close loops quickly.
Coordinate vendors, purchasing, deliveries, and openings; jump in on special projects.
Build simple dashboards in Sheets for ops metrics and follow-ups.
Marketing Coordination
Support content calendars, influencer/partner outreach, community events, and product launches.
Gather creative assets, route approvals, and ship PR kits/swag.
Pull basic performance snapshots (social, email, POS exports) for weekly recaps.
HR & People Ops
Coordinate recruiting logistics (job posts, screenings, interviews) and onboarding checklists.
Assist with payroll processing and issue resolution in partnership with Finance/HR.
Maintain files, training schedules, compliance reminders, and team communications.
General Admin
Process reimbursements, invoices, POs, and vendor setup; light bookkeeping support.
Maintain confidentiality; anticipate needs; continuously improve processes.

Qualifications
Must-Haves
Professional fluency in Spanish and English (written and spoken), with strong live interpreting skills.
3+ years in an EA/Operations/Coordinator role supporting senior leaders (CPG/retail/hospitality a plus).
Excellent writing, judgment, and follow-through; you take ownership and move quickly.
Proficiency with Google Workspace; solid Sheets/Excel skills (filters, lookups, pivots a plus).
Experience with a project tool (Asana/ClickUp/Trello or similar).
Ability to handle sensitive information and balance personal/professional tasks.
Willingness to work occasional evenings/weekends for launches and events.
Nice to Have
Familiarity with payroll/HRIS and ATS tools.
Exposure to POS, franchise, or multi-unit operations.
Light creative skills (slides, simple design edits, social scheduling).
