About Us
We are a residential construction subcontractor specializing in the fabrication and installation of custom wrought iron and aluminum products such as stair and balcony railings, pedestrian and driveway gates, spiral and floating stairs, decorative louvers, and more.
We are seeking a reliable Administrative Assistant to support daily office operations, project coordination, vendor communications, and internal administrative workflows.
Important Requirement – Bilingual (English & Spanish)
Applicants must be fully bilingual in English and Spanish (spoken and written).
You will communicate daily with U.S.-based clients, vendors, subcontractors, and Spanish-speaking team members. Fluency in both languages is essential and will be tested during the hiring process.
Job Summary
This is an on-site administrative role suited for candidates with experience in construction, fabrication, manufacturing, or service-based industries. You will support our project managers, sales team, and operations staff by organizing documentation, processing administrative tasks, and ensuring smooth office workflow.
Key Responsibilities
- Provide day-to-day administrative support to project managers, sales staff, and operations teams
- Organize and maintain digital files, vendor documents, project folders, and contracts
- Assist with invoice processing, purchase orders, and basic bookkeeping
- Coordinate schedules, internal meetings, and email communications
- Prepare reports, spreadsheets, and data entry using Excel or Google Sheets
- Support employee onboarding, time tracking, and basic HR-related tasks
- Handle incoming calls and emails from clients, vendors, and subcontractors
- Communicate fluidly in both English and Spanish
Required Skills & Qualifications
- Fully bilingual English–Spanish (required)
- 2+ years in an administrative assistant, office coordinator, or clerical role
- Strong organizational, communication, and multitasking abilities
- Proficiency in Microsoft Office or Google Workspace
- Experience in construction administration, project coordination, or logistics is a plus
- Familiarity with project management software
- Strong attention to detail and excellent time management skills
