Location: Las Vegas, NV (Hybrid — in-office & remote)

Pay: $18.00 / hour

Job Type: Full-Time (flexible hours, ability to work half time from home)

About Us

Vegas Renovations & Innovations is a licensed Nevada General Contractor specializing in residential and commercial remodeling across the Las Vegas Valley. We're growing fast and looking for a Construction Office Manager who can handle administrative operations, bookkeeping, lead generation, and communication between project teams and clients.

Key Responsibilities

  • Oversee daily office operations: phones, emails, scheduling, vendor coordination, and file organization.
  • Manage QuickBooks: invoicing, expenses, reconciliations, client billing, and vendor payments.
  • Support lead generation and marketing: track new leads, follow up with prospects, and maintain CRM or spreadsheets.
  • Assist with government bidding: prepare bid documents, track deadlines, and organize subcontractor data (experience is a plus).
  • Coordinate between project managers and clients — provide updates, relay information, track approvals, and ensure client satisfaction throughout each project.
  • Liaise between field crews and office staff; collect job-site updates, materials lists, and schedule changes.
  • Handle project documentation: contracts, permits, change orders, lien releases, and insurance certificates.
  • Support HR and administrative needs: onboarding new hires, maintaining employee records, and time-sheet management.
  • Maintain both digital and paper filing systems for all active and archived projects.
  • Improve internal systems and communication processes between the office, field, and clients.

Requirements

  • Minimum 3 years of experience in a construction or contracting office environment.
  • QuickBooks proficiency required.
  • Lead generation experience required.
  • Excellent communication and coordination skills — both written and verbal.
  • Strong computer skills: Microsoft Office (Word, Excel, Outlook) and general cloud systems.
  • Highly organized, detail-oriented, and capable of handling multiple deadlines.
  • Must be self-motivated, dependable, and comfortable working both independently and as part of a team.
  • Able to work flexible hours, with some remote days and some in-office days.

Preferred Skills

  • Bilingual (English/Spanish) — a plus.
  • Familiarity with government bidding (city, state, or federal projects).
  • Knowledge of construction processes, job costing, and document control.
  • CRM or project management software experience (e.g., Buildertrend, Monday, HubSpot, etc.).
  • Prior experience supporting project managers or clients in construction is strongly preferred.
