The Office of the Lieutenant Governor oversees elections throughout the state and informs Utah's voters of the election process. The Office is looking for a dedicated individual to serve as an
Elections Coordinator
responsible for managing election responsibilities and special projects. Those responsibilities will include assisting the public, candidates, and voters with election related inquiries, working with assigned county clerks throughout the state to ensure their needs are met, providing assistance and training to county and city officials regarding election laws and processes, and helping with the day-to-day administration of the Lieutenant Governor's Office.

The position is also responsible for managing special projects related to election administration. Projects are "as assigned," but they may include helping with official election communications, implementing new legislation, or compiling data sets. In addition to working closely with the elections team to perform election tasks, the position will work directly with vendors, state agencies, local election officials, nonprofits, and constituents.

This position will work within the Lieutenant Governor's Office, which is responsible for fulfilling the lieutenant governor's statutory duties. Although this position is career service exempt, the job is not political and will not be involved in any political campaign. In person work is required approximately three days a week, and every day during certain busier periods.

This position specifically will be responsible for financial Disclosure and Lobbyist Compliance. Those duties are listed in depth below, but include following up with candidates and officeholders to enforce compliance with financial disclosure reporting requirements.

POSITION RESPONSIBILITIES

Essential Functions

  • Assist the public, candidates, and voters with election related inquiries and respond to routine election questions. Forms of communication include emails, letters, phone calls, and in-person meetings.
  • Participate in election planning and problem solving activities.
  • Assist with maintaining current and accurate election procedures.
  • Participate in legislative sessions and assist in the implementation of new legislation.
  • Create and maintain comprehensive documentation, including records, logs, and forms, related to election administration.
  • Maintain accurate records related to candidate filings, and other required documentation.

Printed and Digital Materials

  • Develop informational and instructional materials for voters, candidates, and local election officials.
  • Manage the procurement, printing, and distribution of printed materials, coordinating with multiple vendors to meet strict deadlines.
  • Ensure all materials accurately reflect state and federal election laws.

Voter Outreach

  • Coordinate with vendors to develop and approve marketing materials for voter outreach strategies.
  • Assist in creating and implementing a social media strategy for the elections team (@ElectionsUtah).
  • Coordinate voter outreach activities, organize tabling events, and oversee the Campus Cup Challenge.

Financial Disclosure and Lobbyist Compliance

  • Communicate with filing entities and lobbyists regarding financial disclosure deadlines and requirements. Forms of communication include emails, letters, phone calls, and in-person meetings.
  • Monitor and audit and lobbyist disclosure reports, contributions, expenditures, throughout the year to identify non-compliance.
  • Assist individuals with the lobbyist registration, testing, and licensing process. Answer questions regarding lobbyist activities.
  • Disseminate information on new legislation related to financial disclosures and lobbyists.

Miscellaneous Projects and Duties

  • Create infographics and charts related to proposed legislation.
  • Update voter statistics and generate data reports.
  • Develop and implement training materials, guides, handbooks, and other resources on election laws and processes.
  • Serve as backup support for other election tasks.
  • Work additional hours on election days (approximately two to three days per year).
  • Oversee the processes, including signature verification, for initiatives, referenda, and candidate nomination petitions.

Preferred Qualifications

  • Bachelor's Degree
  • Excellent communication skills—both written and verbal—with the ability to simplify and
  • explain complex and technical concepts
  • Ability to read and understand legal text and documents
  • Experience communicating with the public
  • Ability to multitask and prioritize projects in a fast-paced work environment
  • Experience working in a professional office environment
  • Knowledgeable about basic government operations and processes
  • Available to work from 7:00 am - 10:00 pm on approximately two to three days per year
  • Available to travel and stay overnight approximately one to five nights per year
