We are seeking a strategic professional for our Operations Lead part time role to help scale the business with clarity, efficiency, and profitability.

The Operations Lead will report directly with the Creative Director, and collaborate with the Interior Designer. This role is designed to contribute to the structure of the internal systems and processes that enable AYYA to provide exceptional design experiences. This person will collaborate on project timelines, financial health, delivery logistics, and internal operations.

Key Responsibilities

Financial & Operational Leadership

  • Assist in managing AYYA's operating budgets, vendor costs, and P&L tracking through managing Dashboards via Quickbooks
  • Oversee project-level margin tracking systems - with guidance from the founder

Project Management

  • Collaborate on implementing and maintaining project management tools & systems
  • Collaborate on tracking and updating project timelines, deliverables, and team milestones
  • Contribute to the time tracking input ensuring all projects are is up-to-date and aligned with project financial goals
  • Assist on ensure that timelines and budgets are met across all active projects

Delivery and Installation Management

  • Collaborate on maintaining a seamless delivery tracking system for all materials orders
  • Collaborate in communicating with vendors and contractors coordination to resolve procurement and delivery issues
  • Support in establishing workflows with logistics partners (e.g., Berger, Affordable Moving)
  • Support in handling day-of installation logistics, including hiring temporary support

Qualifications

  • Bachelor's degree in Interior Design, Project Management, Business Administration, or related field preferred
  • Experience in project coordination or operations support roles within the design, architecture, or creative industry
  • Preferred proficiency in QuickBooks, Houzz, and/or other project management platforms
  • Strong strategic and scheduling skills
  • Strong communication, time management, and organizational skills
  • Financial fluency: comfort with budgets, invoicing, and profit tracking
  • Ability to balance big-picture oversight with hands-on task execution
  • Available for occasional site visits and vendor walkthroughs in the Chicago area (if applicable)
  • Enthusiastic about team collaboration and also confident working independently

Job Type: Part-time

Pay: $ $33.00 per hour

Expected hours: 25 – 30 per week
