DUTIES AND RESPONSIBILITIES:

  • Speaking with potential clients – Spanish speaking is required
  • Sorting new and old client calls
  • Firm receptionist back up
  • Receptionist for separate AI office
  • All incoming intake calls
  • Welcome guests and clients to office and help set up conference rooms for meetings 
  • Keeping an organized, reliable, and hardworking demeanor at all times
  • Perform some receptionist and office assistant type functions.
  • Intake assistant duties
  • Ordering Supplies
  • Working with firm vendors

QUALIFICATIONS:

  • Bi-lingual – Spanish Speaking preferred 
  • Must have at least 2-3  years' experience at a civil law firm.
  • Must be available to work weekends. 
  • Excellent oral, writing, analytical, and organizational skills.
  • Mastery of the English language (verbal and written) including grammar, spelling, and punctuation.
  • Ability to work independently and as a team, effectively and efficiently without significant supervision.
  • Ability to track, prioritize, and complete multiple concurrent assignments with precision and on time.
  • Exhibit professionalism by adhering to all firm policies, including attendance guidelines, dress code, security measures, and confidentiality requirements.
  • Proficiency with Office 365 suite, including Word, Outlook, and Excel, along with the use of contemporary technology in law practice.
  • Some overtime may be required. Some weekend work may be required.

Experience:

  • Plaintiff person injury experience a plus
  • Prior receptionist experience with heavy phone call activity
  • Administrative experience
  • Microsoft 365 Suite knowledge
  • Filevine Knowledge

Education/ Certification

  • High School Diploma
