Living Advantage, Inc. is looking for an energetic Executive Assistant who doesn't mind wearing multiple hats. The right person will be well-organized, flexible, and enjoy the administrative challenges of supporting a small nonprofit organization.

The Executive Assistant will oversee all office services by organizing office operations and procedures including but not limited to answering and corresponding to phone calls and emails, preparing payroll, scheduling and planning meetings/events, designing filing systems, ordering and tracking office inventory, and monitoring other clerical functions.

Responsibilities:

  • Organize and maintain office efficiency
  • Maintain office systems such as Google Suite
  • Answer/respond to phone calls, emails, fax and record detailed messages
  • Perform administrative and office support activities for multiple supervisors
  • Assist in scheduling and assign employees/volunteers to their appropriate job duties
  • Office supply inventory upkeep
  • Participate in community events
  • Upkeep of 2 locations - youth center and administrative office
  • Light hardware and software maintenance
  • Assure discreet handling of all company business
  • Maintain a safe, clean, organized and productive office environment
  • Administrative support to Executive:
  • Upkeep of calendar and meetings
  • Email screening
  • Errands
  • Demonstrated skill in using Word, Excel and PowerPoint
  • Demonstrated skill in prioritizing assignments and achieving high productivity (Required)
  • Payroll Processing: Prepare and process weekly/bi-weekly payroll accurately
  • Employee Support: Serve as the point of contact for payroll-related inquiries
  • Other duties as assigned

Qualifications:

  • Bachelor's in business administration or management and/or at least 5 years relevant experience.
  • Have some computer skills: MS Word, Excel, PowerPoint, and Google Suite
  • Able to work both independently and as part of a team
  • Can manage time wisely and meet rigorous deadlines
  • Be comfortable working with minimal supervision
  • Be responsible, professional, and have excellent communication skills
  • Organization skills and ability to manage multiple calendars for office
  • Excellent time management skills, with the ability to prioritize and patience
