Job Overview

We are seeking a dynamic and detail-oriented Client Intake Specialist to join our legal team. Responsibilities

  • Greet prospective clients warmly via phone, email, or in person, establishing a positive first impression.
  • Conduct thorough interviews to gather essential case information and understand client needs across various legal disciplines such as estate planning, environmental law, family law, immigration law, and more.
  • Collect and review relevant documents, ensuring accuracy and completeness for case intake.
  • Utilize legal case management systems and document management software like iManage, PCLaw, Westlaw, LexisNexis, and UCC law databases to organize client information efficiently.
  • Assist with legal research and document review to support attorneys in preparing cases.
  • Manage data entry tasks meticulously while maintaining confidentiality and compliance with privacy standards.
  • Coordinate with attorneys and paralegals to facilitate seamless case progression through effective communication and organization.
  • Provide executive administrative support by scheduling appointments, managing calendars, and handling correspondence with professionalism.
  • Maintain organized filing systems—both digital and physical—ensuring easy retrieval of client records and legal documents.
  • Demonstrate excellent phone etiquette when communicating with clients, vendors, or external agencies.
  • Support the team in proofreading legal documents, transcriptions, contracts, and other materials for accuracy and clarity.
  • Engage in ongoing research related to various practice areas such as securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, landlord-tenant law, and more to stay informed of relevant legal developments.

Requirements

  • Proven experience in legal administrative roles or as a paralegal with familiarity across multiple practice areas including estate planning, environmental law, family law, immigration law, securities law, patent law, workers' compensation law, personal injury law, or litigation support.
  • Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment.
  • Excellent research skills utilizing Westlaw, LexisNexis, iManage or similar platforms to gather pertinent legal information.
  • Proficiency in legal case management software such as PCLaw or document management systems like iManage is highly desirable.
  • Exceptional written communication skills for drafting correspondence and proofreading legal documents accurately.
  • Effective interviewing skills to extract detailed case information from clients sensitively and professionally.
  • Experience with data entry tasks combined with meticulous attention to detail ensures high-quality record keeping.
  • Knowledge of clerical procedures including filing systems (digital and physical), document review processes, and transcription tasks.
  • Strong phone etiquette coupled with excellent interpersonal skills to foster trust and rapport with clients from diverse backgrounds.
  • Ability to adapt quickly to new technologies such as Westlaw or LexisNexis for research purposes.
  • Prior experience supporting attorneys or legal teams within a busy law office environment is preferred.
