Job Summary
We are currently seeking a detail-oriented and proactive Accounts Receivable Specialist to join our team in the construction industry. The ideal candidate will be responsible for managing accounts receivables, tracking payments, and preparing financial reports. This role also involves maintaining effective communication with internal teams and clients to ensure timely collections and payments.
Responsibilities
- Proactively and professionally follow up on outstanding customer balances and manage collections.
- Maintain detailed records of all communications and collection efforts.
- Monitor releases, waivers, and compliance requirements as needed.
- Prepare and schedule payments, ensuring deadlines, due dates and terms are met.
- Keep aging reports up to date for both accounts receivable and accounts payable.
- Communicate with project managers and field staff to confirm billing details.
- Support month-end closing processes and assist in preparing audit documentation.
- Maintain organized financial files and transaction back-up documentation.
- Provide administrative support to the accounting and general office departments, including answering phones, drafting and editing documents (such as correspondence, reports, memos, emails), scanning, faxing, and photocopying.
- Review invoices to ensure the proper functioning of accounts payable and make necessary adjustments. Identify, investigate, and resolve any discrepancies or inquiries.
- Be open to cross-training in other areas to assist with additional accounting and administrative tasks.
- Ability to multitask, follow up efficiently, and prioritize responsibilities within deadlines.
Requirements:
- Experience in the construction industry is highly valued.
- Experience with AIA billing, waivers, and project-based invoicing is a plus.
- Proficiency in Microsoft Office (Excel, Word, Outlook, etc.).
- Experience with QuickBooks is preferred.
- Strong attention to detail and organizational skills.
- Ability to handle multiple tasks and work in a fast-paced environment.
- Bilingual (English/Spanish) is a plus.
Job Type: Full-time
Pay: $52, $62,400.00 per year
