Job Summary

We are seeking a detail-oriented and proactive Office Assistant to join our dynamic team. The ideal candidate will be responsible for providing administrative support, managing office operations, and ensuring efficient communication within the office. This role requires strong organizational skills, proficiency in various software applications, and a commitment to delivering exceptional customer service.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems to facilitate effective communication.
  • Perform data entry tasks with accuracy and attention to detail.
  • Maintain organized filing systems for easy retrieval of documents.
  • Assist with calendar management and scheduling appointments.
  • Provide customer support through effective phone etiquette and interpersonal skills.
  • Utilize QuickBooks for basic bookkeeping tasks as needed.
  • Prepare documents and correspondence using Microsoft Office and Google Workspace.
  • Proofread materials for accuracy before distribution.
  • Support office management tasks, ensuring a well-organized work environment.
  • Collaborate with team members to enhance overall office efficiency.

Requirements

  • Previous office experience is preferred, with a focus on administrative roles.
  • Strong computer skills, including proficiency in Microsoft Office Suite and Google Workspace.
  • Familiarity with QuickBooks is a plus but not mandatory.
  • Excellent organizational skills and time management abilities.
  • Bilingual candidates are encouraged to apply, enhancing communication with diverse clients.
  • Experience in clerical roles or customer service is highly valued.
  • Typing speed of at least 40 words per minute is preferred.
  • Knowledge of phone etiquette and customer support best practices is essential.
  • Experience as a dental receptionist or medical receptionist is advantageous but not required.
