Summary of Position
The Office Support Assistant at WaterBridge will be responsible for the front desk and maintaining all common areas of the Houston office. Strong communication skills and a personable approach are essential. The individual should be able to adapt in a very fast-paced, ever-changing environment, be self-motivated, have excellent customer service skills, and be highly organized.
Primary Duties & Responsibilities
The following represents most of the position's duties but is not meant to be all-inclusive or prevent other duties from being assigned when necessary. Employees are expected to comply with all regulatory, environmental, and safety rules and standards, as well as corporate policies.
As an Office Support Assistant, you will be responsible for:
- Maintaining daily kitchen stock and office supplies (coffee, snacks, cutlery, sugars, drinks, etc.).
- Managing inventory and ordering supplies in all workrooms, breakrooms, and pantry.
- Receiving daily mail and delivering outgoing mail in a timely manner.
- Maintaining office security at the front desk by signing in/out, greeting, and directing/escorting visitors.
- Notifying employees of guests' arrival and requesting visitor badges in advance.
- Answering, screening, and forwarding incoming phone calls appropriately.
- Managing conference room calendars to determine the schedule for the day.
- Organizing all conference rooms (arranging meetings, ordering catering, delivering, setting up, and cleaning after meetings).
- Tracking Fresh service (office support ticketing system) requests and picking up/delegating tasks appropriately.
- Receiving weekly flowers for the reception area.
- Performing other clerical receptionist duties, as required, and providing overall administrative assistance to the Houston team.
Qualifications & Requirements
- Must have a high school diploma or equivalency.
- 5+ years of experience as a receptionist or administrative assistant is required.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe, etc.
- Capacity to work overtime, late hours, and weekends, for company events is required.
- Punctuality and self-motivation are requirements for this role.
- Have excellent organizational skills and time management to prioritize tasks appropriately and meet multiple concurrent deadlines.
- Be able to work in a fast-paced environment and manage well through ambiguity and complexity.
- Strong customer service and interpersonal skills are required, including effectively interacting with all departments and levels of the organization, leadership, and external stakeholders.
- Have strong communication and problem-solving skills.
- Must have a professional demeanor.
- Team-oriented, with the ability to collaborate across disciplines and build consensus in a multi-company environment.
- Must be able to stand and walk for extended periods of time while restocking supplies.
Working Conditions/Environment
- Operates in a professional and/or business casual office environment.
- The physical demands described here represent those that an employee must meet to perform the functions of this job successfully. While performing the duties of this job, the employee is occasionally required to:
- Standing, walking, or sitting for prolonged periods.
- Working at heights up to 12 feet as needed (setting up decorations or putting supplies away up high).
- Climbing steps at a 45-degree angle (taking stairs between floor levels instead of the elevator).
- Reach with hands and arms; balance; stoop, kneel, or crouch.
- The employee must occasionally lift and/or move objects up to 50 pounds and must be able to carry bulk, heavy office supplies if needed.
