Overview
Under the supervision of the Human Resources Director and working in conjunction with the Director of Training, the Community Outreach Coordinator will recruit, train, screen, and assign Poll Workers for their Election Day assignments.
Responsibilities
- Work with the Language Coordinator to ensure prospective Election Day interpreters have the required language skills.
- Process new applications using the Poll Worker Database, keeping information up to date, inputting further information, and maintaining all training information and materials.
- Coordinate with the Director of Poll Worker Training to schedule and conduct city-wide training, assemble and maintain inventory materials, and maintain attendance records for training sessions.
- Coordinate and manage recruitment mailings and keep track of all outreach efforts to recruit and retain poll workers, including coordinating with college and high school outreach programs as required.
- Collaborate with the Civic Engagement Coordinator on community outreach strategies and activities, including voter registration drives.
- Coordinate with creating and disseminating information utilizing the department's social media applications.
- Coordinate and train other organizations such as Mass Vote, organize voter registration drives, and be required to attend community meetings.
- Manage and organize training & poll worker records and documents for each election.
- Assist with processing voter registration forms, nomination papers, initiative petition papers, and updating the annual resident listing using the Massachusetts Voter Registration Information System (VRIS).
- Collaborate with the Absentee/Early Voting Manager to strategize, implement, and manage outreach resources to various elderly/assisted living facilities to increase absentee voting participation.
- Provide administrative support to the Senior Staff.
- Process voter registration forms, nomination papers, and initiative petition papers, and update the annual resident listing using the Massachusetts Voter Registration Information System (VRIS).
- Process and file absentee & early voting requests and ballots. Additional tasks involve maintaining and preparing accepted ballots for delivery and further processing, all while upholding the integrity and confidentiality of the vote-by-mail operation, as needed.
- Performs other related tasks and responsibilities as determined by the Head Assistant Registrar of Voters and the Chairperson of the Election Commissioners.
Minimum Entrance Qualifications
- At least four (4) years of full-time, or equivalent part-time, professional experience in an office environment is preferred, preferably in a team leadership experience.
- A High School Diploma or GED is required. An accredited four-year (4) degree from a college or university may be substituted for up to two (2) years of experience; an Associate's Degree may be substituted for one (1) year of the required experience.
- Familiarity with the City of Boston, Massachusetts, and Federal laws and regulations affecting voter registration, election administration, voting, and jury lists. Knowledge of Boston City neighborhoods, wards, and precincts is preferred.
- Familiarity with Google Workspace, the Massachusetts VRIS system, and poll worker management software.
- Proficiency with Microsoft applications and Google Suite preferred.
- Ability to work in a fast-paced environment while maintaining a friendly and professional demeanor with coworkers and all prospective poll workers.
- Ability to exercise judgment and focus on detail as required by the job.
- Excellent communication (oral and written) and presentation skills. The successful incumbent should be able to adapt communication style to suit different audiences.
- Outstanding organizational and planning abilities.
- Demonstrate ability to multitask, adapt to multiple deadlines, and set and adjust priorities as needed.
- Must be able to work flexible shifts, including evenings and weekends, during the election and listing periods.
- Participate in other clerical assignments as dictated by office experience.
- Bilingual applicants are ideal.
- Must be a registered voter in the City of Boston (M.G.L., Chapter 51, section 25).
- Possess and maintain a valid Massachusetts driver's license.
