Executive Administrator

Position Summary:

The Executive Administrator serves as a trusted strategic and operational partner to the COO of JobSiteCare and President of WorldClinic. This individual provides high-level administrative, analytical, and organizational support to ensure smooth coordination across executive functions and core departments (HR, Finance, IT, Legal, and Shared Services). The role requires exceptional judgment, confidentiality, and the ability to anticipate needs, manage complex priorities, and represent executive leadership with professionalism and discretion.

Essential Responsibilities:

  • Executive Support & Coordination:

    Manage calendars, communications, and priorities for the COO and President; ensure meetings, travel, and deliverables are coordinated seamlessly across both organizations.
  • Operational Alignment:

    Coordinate and track strategic initiatives, ensuring alignment among HR, Finance, IT, Legal, and Operations teams. Support preparation of executive dashboards, progress updates, and board materials.
  • Meeting Management:

    Plan, prepare, and document executive and client meetings, including agenda development, pre-read coordination, note-taking, and follow-up on action items.
  • Communication Management:

    Serve as a primary liaison for internal and external communications on behalf of executive leadership. Draft, review, and refine correspondence, presentations, and reports with a high degree of professionalism and accuracy.
  • Confidential Administration:

    Handle sensitive organizational information with discretion; support personnel and governance activities including compensation planning, compliance filings, and executive documentation.
  • Strategic & Analytical Support:

    Assist in preparing analyses, summaries, and briefing materials to support decision-making across financial, operational, and client domains.
  • Cross-Functional Partnership:

    Build productive relationships across departments to streamline workflows, monitor commitments, and ensure accountability on key initiatives.

Required Skills and Competencies:

  • Executive-level communication and interpersonal skills; ability to interact confidently with C-suite leaders, board members, and key clients.
  • Exceptional organizational and time-management capabilities; adept at managing multiple complex priorities under tight deadlines.
  • Proven ability to exercise judgment, maintain confidentiality, and demonstrate discretion in all matters.
  • Strong analytical, writing, and presentation skills with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite, SharePoint, and collaboration platforms (e.g., Asana, Smartsheet, or equivalent).
  • High emotional intelligence, professionalism, and service orientation.

Education and Experience:

  • Bachelor's degree in Business Administration, Management, or a related discipline required.
  • Minimum 8–10 years' experience in executive administration, chief-of-staff support, or senior-level operational coordination.
  • Experience supporting C-level executives within a dynamic, fast-paced organization preferred.

Physical Requirements/Work Environment:

  • Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
  • Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and reports; email; viewing a computer terminal; extensive reading.
