Contracts Clerk - Enjoy a rewarding and challenging position with a nonprofit organization that has been helping educate, train, and provide employment opportunities for individuals with disabilities since 1955. We are currently seeking applicants for a full-time Contracts Clerk who provides administrative and logistical support across laundry, food services, custodial, and mailroom operations. This role ensures the timely execution of financial tasks, contract maintenance, purchasing, billing, and compliance tracking to support departmental projects and operational efficiency.

Applicants must have the availability to work Monday - Friday, 8:00 AM - 4:30 PM, 40 hours per week.

ESSENTIAL DUTIES/RESPONSIBILITIES:

The following duties and responsibilities represent the essential functions of this job that an individual must be able to perform with or without a reasonable accommodation:

  • Track and meet financial deadlines for billing, invoicing, and budget reporting.
  • Assist in preparing and processing purchase orders and vendor payments.
  • Maintain accurate records of expenditures and reconcile accounts.
  • Monitor service contracts for laundry, food, custodial, and mailroom operations.
  • Ensure timely renewals, updates, and compliance with regulatory standards.
  • Support audits and documentation for internal and external reviews.
  • Schedule and coordinate service activities across departments.
  • Maintain inventory logs and reorder supplies as needed.
  • Assist in tracking service delivery and resolving operational issues.
  • Provide clerical support for ongoing projects, including documentation and reporting.
  • Collaborate with team leads to ensure project milestones are met.
  • Help prepare presentations, summaries, and compliance reports.
  • Respond to internal and external inquiries regarding services and billing.
  • Maintain organized filing systems for contracts, invoices, and service records.
  • Draft correspondence and assist with mailroom logistics. Other duties as assigned
  • Occasional travel to visit military bases and installations

QUALIFICATIONS, EDUCATION, & EXPERIENCE:

The following qualifications represent the training, education, certifications, licensures, and/or work experience required to perform the essential duties and responsibilities successfully:

  • High school diploma or equivalent; associate degree or coursework in business administration or related field preferred.
  • Familiarity with purchasing systems and billing procedures
  • Strong attention to detail and organizational skills.
  • Proficient with Microsoft 365 or related software and CRM systems
  • Ability to manage multiple tasks and meet deadlines.
  • 1–2 years in administrative or clerical roles, preferably in operations or facilities support.
  • Knowledge of disability policy and experience working with individuals with disabilities preferred
    Exceptional verbal and written communication skills with the ability to establish and maintain effective professional relationships

PHYSICAL DEMANDS & WORK ENVIRONMENT:

Performing the duties of this job requires near visual acuity, the ability to hear, understand, and distinguish speech and/or other sounds, and gross manipulation. Additionally, the employee:

  • Must be free of tuberculosis in a communicable form.
  • Must be able to lift and/or move up to 15 pounds
  • Must be able to endure prolonged periods sitting at a desk and working on a computer
    Preparation of reports and presentations will require extensive keyboarding

While performing the duties of this job, the employee will be primarily working in an office setting. The temperature and noise level in the work environment will vary.
