Job Summary
We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks, including managing front desk activities, handling multi-line phone systems, and assisting with customer service inquiries. The Office Assistant will play a key role in maintaining a welcoming environment for clients and staff alike.
Duties
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer, screen, and direct incoming calls using multi-line phone systems
- Perform data entry tasks accurately and efficiently
- Maintain filing systems and ensure documents are organized for easy retrieval
- Assist with calendar management, scheduling appointments, and coordinating meetings
- Provide customer support by addressing inquiries and resolving issues promptly
- Utilize Microsoft Office and Google Workspace for document preparation, correspondence, and presentations
- Conduct proofreading of documents to ensure accuracy and professionalism
- Collaborate with team members to enhance office management processes
Requirements
- Proven experience in an office environment with clerical or administrative duties
- Strong computer skills with proficiency in Microsoft Office Suite and Google Workspace
- Excellent organizational skills with the ability to manage multiple tasks effectively
- Bilingual abilities are a plus for enhanced communication with diverse clients
- Familiarity with multi-line phone systems and strong phone etiquette
- Experience in customer service roles demonstrating effective communication skills
- Ability to maintain confidentiality while managing sensitive information
- Strong typing skills with attention to detail for accurate data entry
- Time management skills to prioritize tasks efficiently in a fast-paced environment
- Previous experience as a dental or medical receptionist is advantageous but not required
