Job Overview

Weston Corporate Services is seeking a detail-oriented and dependable Events Coordinator to support event operations across our venues — Rio Plaza Events, Rita's on the River, and Canopy on the Comal. This hands-on position plays an essential role in ensuring every event runs smoothly from planning through execution.

The Events Coordinator will assist with event preparation, vendor communication, room setup, and on-site coordination. This position is ideal for someone who enjoys working in a fast-paced environment, has strong organizational skills, and takes pride in creating exceptional experiences for guests.

Responsibilities

  • Assist in the planning and coordination of private, corporate, and social events across multiple properties.
  • Communicate with clients, vendors, and internal teams to ensure all event details are accurate and executed on schedule.
  • Support the setup and breakdown of event spaces, including décor, furniture, and linens.
  • Coordinate delivery and pickup of supplies, rentals, and vendor items.
  • Prepare event materials such as Banquet Event Orders (BEOs), floor plans, and timelines.
  • Serve as an on-site point of contact during events to ensure everything runs smoothly and client expectations are exceeded.
  • Maintain a high standard of cleanliness, organization, and presentation in all event areas.
  • Work collaboratively with the Director of Event Sales and venue teams to deliver exceptional guest experiences.
  • Perform general administrative duties as needed to support the events department.

Qualifications

  • 1+ year of experience in event coordination, catering, or hospitality preferred (but not required).
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and ability to manage multiple priorities at once.
  • Comfortable working both independently and as part of a team.
  • Flexible schedule, with availability on evenings, weekends, and some holidays based on event schedules.
  • Ability to lift up to 30 lbs and assist with physical setup of event spaces.
  • Proficiency with Microsoft Office and basic familiarity with event software or spreadsheets a plus.
