About the Role

We're looking for a highly detail-oriented Accounting & Finance Data Entry Specialist who is dependable, self-sufficient, and passionate about keeping financial data clean and consistent.

This role is perfect for someone who loves order and accuracy, can manage their own time effectively, and takes initiative to solve problems before they become issues. You'll support multiple school accounts in QuickBooks Online and related systems, ensuring transactions and reconciliations are handled with the highest level of accuracy.

Key Responsibilities:

• Enter and maintain accurate financial data in QuickBooks Online across multiple school clients
• Process and code transactions, journal entries, and vendor bills efficiently and consistently
• Assist with monthly bank, credit card, and balance sheet reconciliations
• Review and verify supporting documentation for completeness and compliance
• Maintain organized digital files and records in Google Drive, Smartsheet, and related systems
• Identify and resolve data discrepancies or missing information proactively
• Manage your time effectively to meet deadlines across multiple clients and priorities
• Collaborate with teammates and jump in to assist others when needed
• Communicate clearly and professionally with internal and external partners

What We're Looking For:

• Extreme attention to detail — accuracy and consistency are second nature
• Strong QuickBooks Online skills (multi-entity experience preferred)
• 2+ years of accounting or data entry experience in a financial setting
• Excellent time management and ability to stay organized in a fast-paced environment
• Self-sufficient and internally motivated — able to work independently with minimal supervision
• Collaborative mindset — willing to help the team and share best practices
• Quick learner who can adapt to new systems, tools, and processes
• Proficiency in Google Workspace (Sheets, Drive, Docs)
• Commitment to confidentiality, accuracy, and accountability

Requirements:

• Must pass an initial screening and QuickBooks Online proficiency test to move forward to the interview stage
• Associate's or Bachelor's degree in Accounting, Finance, or related field preferred, but not required (We value the right fit)
