Wold Architects and Engineers is seeking an Administrative Manager for a professional office environment to become part of our team in Minneapolis, Minnesota. The candidate represents our Corporate Team as well as the company at large, so the successful candidate will be accountable for the administration team, communicative, dependable, and amicable. We are a dynamic, growing architectural and engineering firm. Our core values are based around customer service at all levels of the organization.
This position provides support to our architectural and engineering teams, including project managers as well as project staff. In addition, this role will manage our administrative team that is responsible for all formal correspondence, office management, vendor management, receptionist backup, incoming and outgoing mail, and various projects to support corporate operations. Our ideal candidate will be enthusiastic about taking on additional duties including social event planning and branch office coordination.
Office management responsibilities include team management to complete the following tasks which may include, but are not limited to:
- Supervise daily office operations to maintain cleanliness, organization, and productivity.
- Manage office supplies, inventory, and equipment maintenance to support seamless operations.
- Implement and maintain office policies and procedures to improve efficiency and productivity.
- Provide excellent customer service to clients and visitors, addressing inquiries and resolving issues promptly.
- Supervise front office staff, providing guidance and support in their roles.
- Actively supports and drives the company culture through work pride and accountability
- Collaborates with management team to identify opportunities for improvement in processes
- Cultivate and maintain strong relationships with customers, vendors, and partners.
- Collaborate with IT support to ensure office technology is operational.
- Coordinate training sessions, workshops, and team-building activities.
- Assist in planning, coordinating, and tracking diverse projects to ensure deadlines are met, providing regular updates to your supervisor.
- Actively supports and drives the company culture through professionalism, pride in work and accountability
- Collaborates with management team to identify opportunities for improvement in processes
The exceptional candidate will be accountable for training and mentoring the administrative team in following document processing areas:
- Increasing proficiency in use of word processing (Microsoft Word preferred), Outlook and Excel; develop a good working knowledge of PowerPoint, Publisher and other applicable programs
- Accurately and effectively prepare minutes and other business correspondence including unique and detailed reports, memos, and submittals
- Developing contract and technical writing skills
- Overseeing the day-to-day operations of the administrative team, ensuring all processes and procedures are followed accurately and efficiently and filling in where needed.
- Provide training, direction, and supervision to administrative staff
Candidates should also possess the following qualities:
- Bachelor's degree in business administration or related field
- Minimum of seven years of experience in office management or related role
- Ability to perform multiple tasks independently and effectively prioritize tasks and resources
- Strong attention to detail, accuracy, follow through, and ability to work on multiple projects while maintaining deadlines.
- Excellent oral and written communication skills and ability to interact with all department staff and other key individuals.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Strong problem-solving skills with the capability to manage multiple priorities effectively.
