Job Summary
We are seeking a highly personable, confident, yet empathetic, business ROCKSTAR Receptionist to join our team. This is NOT your average receptionist position We need someone who really knows the flow of a private practice schedule, the absolute Tetris of a patient schedule, the nuances of private practice patient care (vs. the standard medical vibe). There is a educational sales component of this position, because you'll be talking to new patients on the phone who are asking questions about our treatments and fees, and you'll need to direct them appropriately. This role is absolutely essential in ensuring the smooth operation of our office and providing excellent customer service. The ideal candidate will possess strong organizational skills, be proficient in computer work, changing between tasks quickly and easily, and have experience managing front desk responsibilities. Bilingual candidates are encouraged to apply, but not an absolutely necessary skill.
Duties
- Greet and assist visitors in a friendly and professional manner at the front desk
- Manage phone systems, directing calls and taking messages as necessary
- Perform data entry, filing, and clerical tasks to support office operations
- Maintain calendars, schedule appointments, and manage meeting logistics
- Provide customer support by addressing inquiries and resolving issues promptly
- Collecting payments and reviewing financial options with clients
- Handle correspondence via email and other communication platforms
- Support office management tasks including inventory management and notifying owner to supply ordering
- Collaborate with team members to enhance workflow efficiency
Skills
- Strong typing skills with attention to detail for accurate data entry
- Excellent organizational skills with the ability to manage multiple tasks simultaneously
- Effective phone etiquette and customer service skills to ensure positive interactions
- Experience in administrative roles with a focus on clerical duties and office management
- Bilingual abilities are highly desirable for effective communication with diverse clients
- Time management skills to prioritize tasks effectively within a busy environment
- Previous experience as a dental or medical receptionist is important
