Job Summary

The Events and Account Coordinator will be responsible for maintaining existing accounts and developing relations with new customers. They will provide event rentals and special event decor for social, corporate, hospitality, weddings, and assigned events as needed. This role will provide strategic communication and organization between in-house departments to ensure the experience has exceeded the client's expectations, while maintaining an outstanding client relationship.

Essential Functions

  • Handle inquiry emails/calls, write proposals/quotes, negotiations, and confirm rental/special event orders, according to departmental procedures.
  • Attend client meetings and travel to site inspections for new and existing events.
  • Execute all aspects of the rental process from start to finish, through communication with operations and management.
  • Actively prospect for new corporate and social business and utilize creative methods to close business while maintaining existing relationships with current accounts.
  • Accurate and timely management of contracted deposit schedules and minimums during busy days.
  • Ensure event details are accurate and entered the order booking system
  • Onsite contact between clients and events leads at load in.
  • Knowledge of current event trends and ability to provide creative alternatives and options to clients.
  • Oversee administrative management of customer orders and corresponding department.
  • Attend production meetings with various departments to communicate pertinent event details as needed.
  • Ability to creatively resolve customer concerns or challenges using business acumen skills and discretion.
  • Foster a cooperative work environment with all departments to provide seamless experience for all clients.
  • Follow established emergency procedures when handling calls/emails of an emergency nature, by reporting to managements and operations.
  • Provide on-site support for customer deliveries as needed.
  • Oversee customer billing from collecting pre-payments to sending the final invoice to the contact prior to delivery.

Required Skills and Abilities

  • Ability to communicate effectively orally and in writing.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Ability to work calmly under pressure in a fast-paced environment.
  • Must be able to sit or stand at desk for prolonged periods of time.
  • Must be able to safely lift and carry up to 30 lbs on occasion.

Qualifications

  • Computer literacy and proficient with Microsoft Office programs.
  • Highschool diploma or GED/Equivalent required. Bachelor's degree in a related field is a strong plus.
  • Prior experience in Rentals, Events, and Hospitality strongly preferred.

Certificates and/or Licenses Required:

  • Must currently hold a valid California Driver's License.
