Title: Human Resources Assistant
FLSA Status: Non-Exempt, Full Time
Purpose:
The Human Resources Assistant provides administrative support to the HR department and assists with day-to-day operations of HR functions and duties. This role is essential in helping ensure smooth HR processes, maintaining employee records, coordinating recruitment efforts, and supporting employee engagement initiatives.

- Assist with recruitment activities including posting job openings, conducting phone screens, reference checks, scheduling interviews, background checks, and communicating with candidates.
- Support onboarding and offboarding processes, including sending out new hire onboarding paperwork, I-9 completion, coordinating new employee onboarding sessions, and ensuring completion of offboarding steps.
- Maintain and update employee and HR records (both digital and physical), ensuring accuracy and confidentiality.
- Perform general administrative tasks such as data entry and document preparation and other administrative support as needed.

- Other duties as assigned.
- Ability to develop and maintain receptive, open, and approachable lines of communication with staff and candidates.
- Strong written and verbal communication skills, including composing, proofreading, and editing.
- Presentation and meeting facilitation skills.
- Ability to work as a proactive and positive member of a team to deliver quality services.
- Ability to use sound judgment and maintain healthy professional boundaries.
- Ability to handle sensitive information with discretion and professionalism.
- Analytical, critical thinking, and problem-solving skills.
- Ability to meet deadlines and set priorities.
- Work in self-directed/independent manner.
- Proficiency with a variety of web-based software and databases, including Microsoft Office Suite and HRIS systems.
- Knowledge of employment laws and HR best practices are plusses.
- Work is performed in an office environment with frequent interruptions.
- Travel may be required to other program sites.
- Prolonged periods at a desk, working on a computer.
- Walking and standing continuously for hours at a time.
- Manual dexterity for tasks such as taking notes and using technological devices for documentation.
- Must be ambulatory and able to negotiate stairways.
- The ability to lift and carry heavy weights that can be up to 25 pounds.
Required
- High school graduate with two years of related administrative experience.
- Experience working in the field of human resources.
- Experience working with applicant tracking systems (ATS).
- Must not be actively receiving services from Guild and must not have received services within the last two years.
- A valid Class 'D' Driver's License, reliable vehicle, satisfactory driving record and necessary insurance.

The salary range for this position is between $22.81- $27.49 hourly. The range reflects the minimum and maximum salary for the position. Compensation will depend on the candidate's professional experience, skills, and relevant education, training, and certifications.
