As an Office Manager, your primary responsibility is to manage and optimize financial processes for all dealership departments to ensure accurate reporting and maintain a clear picture of the business's financial health.
This role involves generating and analyzing financial data, providing detailed reports to management, and overseeing the accounting office and administrative functions. 

Office Manager Compensation and Benefits: 

Office Manager Competitive Salary: $90,000-$105,000 salary 

Generous Paid Time Off (PTO):We prioritize work-life balance, offering industry-leading PTO.
New full-time employees accrue 4 hours per pay period, totaling approximately 96 hours in the first year, with increases over time. 

Comprehensive Benefits Package: Hannah Motor Company provides extensive health benefits starting the first month after 60 days of employment.
Options include medical, dental, vision, Health Savings and Flexible Spending accounts, life insurance, and short- and long-term disability, alongside a robust 401(k) plan for retirement planning. 

Paid Holidays: Hannah Motor Company offers at least 6 paid holidays per year to the Office Manager subject to completion of the introductory period and other eligibility requirements as per company policy. 

Office Manager Responsibilities:

  • Hires, trains, and supervises office personnel. 

    • Analyzes and organizes office operations and procedures. 

      • Helps prepare a complete financial statement monthly according to dealership guidelines and the manufacturer's format and time frame. 

        • Review schedules for various areas of the office. 

          • Reconciles select accounts monthly. 

            • Ensures that all manufacturer accounts including incentives, warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate. 

              • Approves adjustments to inventory and receivable accounts. 

                • Participates in the preparation of short- and long-term forecasts. 

                  • Assists in completion of annual tax preparation 

                    • Ensures compliance with all government regulations. 

                      • Stays abreast of current factory incentives and codes deliveries on dealership computer system accordingly. 

                        • Compiles information and prepares reports as requested by management and/or dealer principal. 

                          • Maintains a professional appearance. 

                            • Attending managers' meetings as requested. 

                              • Other duties may be assigned by supervisor. 

Office Manager Qualifications: 

  • Accounting degree or equivalent experience desired.
  • Experience with dealership management computer systems desired (CDK, Reynolds & Reynolds, DealerTrack, DealerBuilt, etc.).
  • Excellent communication skills (including listening, speaking). 

    • Ability to read, speak and understand English. 

      • Ability to interpret a variety of instructions furnished in written, oral, or schedule form. 

        • Ability to multi-task. 

          • Ability to work alone, self-motivate and manage one's own time. 

            • Physical ability to use computer hardware/software. 

              • Team player with a positive attitude 

                • Computer literate (MS Word, Advanced Excel, Outlook,) 

                  • Organized and extremely detail-oriented 

                    • Ability to prioritize 

                      • Deadline-oriented 

                        • Research skills 

                          • General math skills 

                            • Basic knowledge of dealership operations and/or office/clerical experience.
