Administrative Assistant

Pittsburgh area real estate company is in need of a capable part-time Office Support Associate. The selected candidate will assist with administrative tasks, property management, tenant relations, contractor management and project management.
Duties to include:
· Data entry and maintain accurate property records.
· Bookkeeping, including tracking expenses and income.
· Organize and maintain property information, such as bills and other documentation.
· Handle tenant leases and contracts, ensuring all documentation is up-to-date and compliant with legal requirements.
· Address tenant inquiries and resolve issues in a timely manner.
· Assist in the tenant screening process, including background checks and reference verification.
· Facilitate smooth move-in and move-out processes for tenants.
· Identify and communicate service work requirements to contractors.
· Maintain professional relationships with contractors and service providers to ensure timely and quality service.
· Prepare detailed reports for each project, documenting progress, costs, and completion status.
· Keep detailed records of property-related information, including maintenance schedules, tenant communications, and financial transactions.
· Organize and file property bills, receipts, and other important documents.
· Gather and organize data on prospective properties to assist in decision-making.
Requirements:
· Strong organizational skills with the ability to manage multiple tasks simultaneously.
· Accurate data entry and general bookkeeping skills.
· Attention to detail and accuracy in maintaining records.
· Professional verbal and written communication skills; ability to interact professionally with tenants, property owners, contractors, and real estate professionals.
· Proficient MSOffice skills (Word, Excel, Outlook) with ability to learn new software quickly
· Excellent multitasking skills with ability to coordinate projects for timely completion.
· Strong problem-solving abilities and attention to detail
