About The Role
Spiegelworld is looking for a People & Culture Administrator to join the team at our Headquarters in Las Vegas. The People & Culture Administrator will provide excellent customer service to team members as the first line of communication on People questions and requests. This position will assist with the overall coordination of the People & Culture team by providing administrative support as well as attending to employees’ day to day People & Culture needs. The ideal candidate will be a dynamic individual with outstanding organizational and communication skills to efficiently assist in a fast-paced, ever-changing organization. This position requires strong time management and customer service skills as well as an acute awareness of the importance of the details and accuracy of work. A passion for working with and helping people is a must. This position reports directly to and works in close partnership with the People & Culture Generalists / rest of the People & Culture team.
Responsibilities
- Act as the first line of communication to employees on People & Culture questions, answering what you can, finding answers to what you should know, and escalating or directing to others as necessary.
- Promoting a positive employee experience by providing excellent customer service and communicating transparently on all People & Culture matters.
- Actively engage in our antiracist commitment and internal practices by participating in offered learnings, engaging in conversations around Equity, Diversity, Inclusion, and Accessibility, and helping us maintain a safe and welcoming workspace.
- Being a champion of our our culture and promoting engagement at all levels
- Monitoring general People & Culture email inbox and telephone number; this includes answering the query, transferring it to the appropriate person, or escalating as necessary. Responding in a timely manner is critical.
- Inputting and maintaining accuracy of data in UKG as well as assisting staff with UKG access and login issues.
- Launching onboarding packets for new hires and ensure they are completed fully and accurately. Initiates other pre-hire activities such as drug testing and background checks.
- Supporting the tracking system in place for communication and connection with recruiting.
- Assisting with benefits administration by processing new hire enrollments and qualifying life events.
- Completing employee related documents, such as continuing education reimbursements, unemployment claims, employment or income verifications, and garnishment/alimony/child support documents, etc.
- Assisting with coordination of interviewing events, People & Culture activities, and staff engagement opportunities.
- Maintaining confidential personnel files (physical and digital) and personnel actions; including filing and creation of files. Handles sensitive and confidential documents without compromising the integrity of the documents and/or integrity of the Company, or individuals that are the subject of the documents.
- Providing administrative support throughout the employee lifecycle for employees, supporting HRIS data entry, onboarding & offboarding in the HRIS system, I-9 verifications, employment verifications and assign training.
- Assisting the People & Culture team in maintaining job descriptions, standard templates, and departmental manuals within the company to meet all federal, state, and local policies and procedures
- Clerical support, including accurate data entry support for Payroll and Monthly Reporting processes, Digitizing and organizing prior employee files, scanning and updating incoming records to established employees files.
- Other related duties as requested by your manager.
- 2 years of human resource experience with knowledge of employment law or combination of related education and applicable experience.
- Excellent time management skills and ability to manage shifting priorities to meet deadlines while maintaining a positive attitude.
- Basic knowledge of State and Federal labor law as well as employment regulations.
- Demonstrated strong oral, written, analytical and interpersonal skills.
- Working knowledge of HRIS systems, experience with UKG is a plus. Proficient knowledge of Microsoft Office (Word, Excel and PowerPoint), Google Suite.
- Handles all data and timely materials with confidentiality, discretion, sensitivity, and the urgency it requires.
- Comfortable working with people at all levels of the organization.
- Ability to learn quickly, and be comfortable with multi-tasking and handling frequent interruptions.
- Strong adherence to Company policies, including but not limited to time and attendance.
- Ability to work independently and efficiently, organizing and prioritizing work to meet deadlines.
- Demonstrates initiative, attention to detail, analytical skills/problem solving.
- Successful background check clearance prior to hire
- Must have valid work authorization for the US.
